Job Description Summary Supports and assists the Community Manager in overseeing and managing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track and report on all financial workings of the community.

Job Responsibilities

Complete daily financial transactions: collect market rent, fees, and other payments; prepare daily bank deposits; reconcile bank accounts; create financial reports; and process invoices and payables.

Operate the property management software (Yardi/OneSite); enter all required fields accurately; perform system updates and backups to maintain data integrity.

Review resident files and accounting records; identify unpaid and late fees; communicate with residents about outstanding balances; enforce lease obligations to maximize revenue.

Review and submit vendor invoices; verify work performed; obtain management approval; code charges to appropriate Chart of Account; coordinate with vendors, accounting and client/owner.

Process evictions per company procedure; prepare legal notices; represent the community in court hearings and proceedings.

Manage resident move‑outs; review lease terms and notice; apply deposit and lease‑cancelation fees; process disposition per legal requirements.

Enhance resident satisfaction and retention by responding to complaints, questions, and requests promptly; resolve service issues.

Act as on‑site supervisor in absence of the community manager: organize daily work; coordinate maintenance and make‑ready tasks; manage the community operation per company policies and practices.

Assist in owner/client relationship; meet owners; conduct community tours; provide performance updates; respond to owner requests.

Participate in leasing processes: generate and monitor traffic; lease apartments; qualify prospects; prepare lease documentation; complete move‑in procedures.

Oversee lease renewal program: sponsor renewal functions; manage communication; assist with resident move‑outs.

Supervise leasing team: interview, hire, orient, train employees; manage performance per company policies and values.

Perform all sales and leasing activities to achieve revenue and occupancy goals: greet prospects; conduct tours; process applications; perform credit and criminal background checks; prepare lease and move‑in package; ensure smooth move‑ins and lease signings.

Inspect apartments prior to move‑in; confirm readiness; schedule outstanding items with maintenance team.

Design and execute marketing activities to attract residents: implement resident referral and employer outreach; use internet marketing tools; follow community‑specific marketing plans.

Track apartment availability; record traffic and leasing data; manage resident/prospect information; capture critical demographics and other data via on‑site software.

Physical Demands

Stand, walk, sit for extended periods; bend, stoop, climb ladders; reach, carry objects; crawl in confined areas.

Work inside and outside in all weather conditions.

Push, pull, lift, carry up to 25 lb alone and 50 lb with assistance.

Rare or regular travel may be required.

Work a flexible schedule; call during evenings, weekends and holidays.

Additional Compensation

Corporate positions: base salary plus quarterly or annual bonus program based on individual and company performance.

On‑site property positions: base salary plus weekly, monthly, and/or quarterly bonus programs.
