To assist the Department Chair with continuous program development by ensuring excellence in streamlined academic processes and efficiency in overall quality, accuracy and timeliness that foster student and Department long‑term success. Key Responsibilities
Apply substantive knowledge of department policies and procedures to record keeping, file management, budgeting, requisitioning, class scheduling, student registration, travel coordination, expensing, and faculty onboarding. Maintain and develop office procedures and practices. Interact with departmental faculty, corporate partners, projects, and students, explaining program information to stakeholders. Assist with administrative, academic, and grant/research efforts, including completion of academic reports, grant application preparation, and faculty hiring processes. Maintain general and content‑specific academic/student and research files, managing security and access. Support student registration, room/class assignments, faculty travel arrangements, equipment inventory, and utilization of university systems/platforms. Communicate with students, faculty, staff, administrators, and visitors, answering telephone calls, scheduling appointments, and liaising between the department and other campus offices. Prepare, proof‑read, format, and document course materials and other departmental documents. Compile summary data tied to program implementation and develop databases to track outcomes. Serve as office/telephone receptionist providing courteous customer service. Coordinate work flow, including prioritization of daily assignments, coordination of faculty correspondence, scheduling, and coordination of department meetings and events. Utilize common office technology and university‑based software (Banner Student, Banner Finance, Chrome River, Aggie Mart, Ramses, etc.). Prepare reports, emails, memos, and other documents with independent judgment; proof‑read for grammar, spelling, punctuation, and formatting. Resolve unprecedented issues and provide recommendations; serve as a resource for others. Assist in budget procedures, including monitoring department budgets, processing expenses, and maintaining budgetary paperwork. Qualifications
Education & Experience: High School Diploma or equivalency plus one year of related office experience; or equivalent combination of training and experience. Preferred: BS–MS with relevant years of experience demonstrating competencies. Skills & Competencies: Master‑class proficiency in 21st‑century business technology, including Microsoft Office (Excel, PowerPoint, Word, Design software), Banner (or similar academic management system), Banner Finance, and willingness to learn new technology. Excellent interpersonal skills; ability to work within a plan and under pressure. Knowledge of department, university, and college mission, vision, and core values. Strong communication skills, both verbal and written. Coordination of workflow and office technology competence. Problem‑solving and budgeting skills. Ability to maintain confidential and sensitive information. Special Instructions
