Overview

Research Administrative Assistant This position supports pre-award sponsored projects and other restricted proposal submissions. It operates within a Grant Proposal Team (GPT) supporting multiple academic departments and collaborates with CALS Grant & Contract Officers, the Office of Sponsored Programs, Administrative Managers, department chairs, agency representatives, and Principal Investigators to ensure proposals comply with policy guidelines and deadlines. Associate's degree in financial/business management or equivalent with 2+ years of experience in a complex academic or research setting.

Proficiency with computer applications for financial management and reporting (e.g., Microsoft Excel). Comfortable with new and developing administrative systems and computer applications.

Sound judgment, excellent reasoning and decision-making skills, meticulous record-keeping, and ability to work with diverse personalities.

Ability to work under pressure with initiative; excellent oral/written communication, organizational and time management skills, and ability to prioritize multiple projects, including urgent or confidential tasks and deadlines.

Ability to represent work unit professionally and ethically with tact and diplomacy while creating a high-quality, respectful work environment.

Ability to foster a team environment while meeting CALS and broader organizational goals.

Ability to build and sustain partnerships with college, university, and departmental financial offices and staff.

Ability to handle sensitive/confidential material in a highly professional manner.

May occasionally be required to work overtime.

Preferred (not required) Bachelor’s degree with concentrated experience in a financial office setting involving complex financial structures and multiple revenue sources.

Experience with sponsored project proposal preparation and submission.

Knowledge of Cornell University Contract College & OSP policies, accounting systems, and familiarity with Workday and mainframe systems.

Responsibilities

Under the direction of the Assistant Director/Team Lead and Grant and Contract Officers of the CALS Office of Pre-Award Services, in collaboration with eligible Principal Investigators (PIs), this role provides support for pre-award sponsored projects and other restricted proposal submissions. It functions within a Grant Proposal Team (GPT) supporting upwards of 20 academic departments with over 1,200 proposals per year. It ensures proposals comply fully with college, university, and agency-specific policy guidelines and supports the PI’s final submission according to CALS policy deadlines. It coordinates and serves as liaison to CALS GCOs, OSP, AMs, department chairs, agency representatives, and PIs to respond to pre-award issues during proposal preparation and submission. OPAS assists in the execution of over 1,200 proposals and applications annually and aims to enhance the quality and competitiveness of Cornell University research. OPAS’s mission includes: Providing pre-award support from concept to submission.

Building proposal budgets clearly and in line with post-award accounting practices and policies.

Understanding and communicating sponsor, university, college, and department procedures and policies.

Collaborating with the Cornell Office of Sponsored Programs on pre-award budgets, documentation, and correspondence.

Promoting proposal award success within CALS and supported departments and colleges.

This position follows a hybrid work schedule with a minimum of 2 days per week on the Ithaca, NY campus. Benefits & Work Arrangement

The position is eligible for a hybrid work arrangement (remote up to 3 days per week, on-campus 2 days per week). The university reserves the right to modify this arrangement at any time.
