Position Summary

Provide support for the Director of Development and Development Manager in the implementation and fulfillment of EEI’s sponsorship program, fulfill deliverables of sponsorship agreements and provide administrative support to the department. Oversee the guest, competitor, sponsor event experience and execute activations that promote and enhance the overall guest experience.

This is a full-time, onsite role based in Lexington, Kentucky, with an annual salary range of $35,000 to $40,000.

Key Responsibilities

Manage and maintain the SponsorCX database and related files to ensure accurate, timely fulfillment of all sponsorship components, including logo collection, PA announcements, :30 jumbotron spots, social media posts, signage production, event ticket assignments, and more.

Assist in the design and preparation of sponsor fulfillment packets and deliverables.

Proofread and coordinate program artwork to ensure accuracy and brand consistency.

Maintain organized records of event items, development lists, and inventory.

Assist with sponsor payment processing, including invoice preparation, check logging, and payment tracking.

Organize & update all event schedules, working with other departments to ensure accuracy and consistency.

On-Site Event Logistics

Oversee the planning and execution of the Official Scavenger Hunt.

Support sponsors during move-in/move-out, including coordination with production teams, managing inventory, distributing materials, and handling on-site requests or errands.

Assist Sponsorship Manager to ensure sponsor signage is properly placed, accurate, and consistent with contract requirements.

Guest Experience & Relationship Management

Plan and execute event activations that enhance overall guest, competitor, spectator, and sponsor engagement.

Coordinate with COO, Director of Development, Ticketing Manager and Logistics Manager to ensure positive and strategic guest experience is fulfilled.

Assist with planning and executing receptions, dinners, award ceremonies, and other adjunct activities tied to the event.

Assist with gifting, partner touch points, and special activations that strengthen sponsor relationships and brand goodwill.

Reporting & Administrative Duties

Support internal communication to keep the development team and cross-functional departments aligned on deadlines, deliverables, and event priorities.

Create up-to-date reports on sponsor database.

Perform additional duties as assigned to support department goals and organizational objectives.

Required Experience

Bachelor’s degree in Equine Management, Hospitality, Sports Management, Business Administration, or a related field; or equivalent work experience.

Experience in creative media, marketing, social media, photo organization, or related field.

Experience working in a fast-paced, dynamic environment. Ability to work under pressure and manage multiple tasks simultaneously, particularly during live events.

Strong written and verbal communication skills, including preparing reports and interacting with internal and external stakeholders.

Proficient in Microsoft Office Suite, Canva and SponsorCX (or the ability to learn new software as needed).

Experience with sponsors, marketing and public relations for events, including creating signage and promotional materials, is a plus.

Working Conditions & Expectations This position requires some travel and attendance at competitions, including weekends and holidays. Work is performed indoors and outdoors in varying weather conditions and requires extended periods of standing, walking, and active on-site participation during events.
