Shipping Admin is responsible for coordinating, administrating and managing outbound shipments of our products to customers in North America, ensuring orders are processed per company’s procedures as well as our customer’s Vendor Compliance requirements. The Clerk must work closely with Sales and Warehouse.
Requirements
MUST have experience with World Ship and FedEx. Prior experience in logistics coordination is a must.
Excellent comprehension ability to understand and execute all requirements (routing, labeling, documentation) of the Vendor Compliance documentations from various Major US Retailers.
Highly organized, detailed oriented and self‑motivated.
Strong communication skills (both verbal and written).
Excellent time‑management skills. Able to prioritize and multi‑task.
Work independently as well as a team to ensure the Company’s shipping goal is achieved.
Must be able to work under pressure, plan and coordinate with different departments.
Knowledge in description and classification of freight.
Proficient in Microsoft Word, Excel and Outlook.
Familiar with shipment through customers’ truckers, LTL, UPS and FedEx.
Responsibilities
Monitor workflow between Shipping and warehouse. Expedite shipment as needed.
Prepare pick list/work order/shipping labels for the warehouse.
Review, understand and verify Customers’ Vendor Compliance and Routing/Shipping Instructions.
Develop and maintain guidelines and procedures by customer. Make sure all Shipping Procedures and Instructions are followed. Avoid chargeback and late shipment.
Request routing on a timely basis per customers’ Compliance requirements.
Co‑ordinate with warehouse to ensure all orders are complete, routed and shipped on time and accurately.
Request and evaluate freight quotes from various carriers, select the most appropriate and cost‑efficient ship method.
Prepare shipping documents, packing list, Bill of Lading, etc. Must be familiar with Master BOL requirement for consolidator pickups.
Arrange and follow up carriers pick up. Provide daily pick up schedule to warehouse.
Process shipment with truckers (TL and LTL), UPS and FedEx.
Communicate shipping information to customers. Tracking. Trouble‑shoot and follow up on issues or delivery delays.
Some international shipments.
Other Shipping and Transportation tasks. Some administrative tasks.
