Job Description As our Purchasing Clerk, you’ll play an essential role in inspecting every delivery to ensure everything that comes into the hotel meets the gold standard—no wilting lettuce or off‑brand napkins allowed! You’ll work closely with Food & Beverage and Purchasing departments to confirm that all products, both edible and non‑edible, are exactly what was ordered.
Responsibilities
Inspect shipments against purchase orders and invoices—confirm quantity, quality, size, weight, pricing, and expiration dates.
Sign and date each invoice and packing slip to confirm everything is accounted for.
Input receipts into the system with accuracy and speed to support Accounts Payable.
Communicate shortages or delays immediately to the F&B Purchasing Manager.
Prepare and distribute daily reports for food, beverage, and open purchase orders.
Assist the storeroom team with filing requisitions and keeping storage areas clean and organized.
Support month‑end inventory counts to improve decision‑making hotel‑wide.
Follow end‑of‑day procedures: close cooler doors, lock items, tag keys, and complete logs.
Use computers, phones, printers, pallet jacks, and other equipment proficiently.
Collaborate with chefs, F&B leaders, and associates across departments to deliver excellence.
Qualifications
High School Diploma or equivalent required; Associate’s degree in business, hospitality, or supply chain is a plus.
1–2 years of experience in purchasing, receiving, or inventory control in a hotel, restaurant, or warehouse setting.
Basic knowledge of food and beverage products (expiration dates, weights, standards).
Strong computer skills—familiarity with inventory and purchasing systems, Excel, and data entry.
Excellent attention to detail in checking deliveries, entering data, and matching orders.
Strong organizational and time‑management skills for handling multiple deliveries and deadlines.
Basic math skills for counting, weighing, converting units, and catching price discrepancies.
Ability to lift/move up to 50 lbs with pallet jacks or dollies.
Effective communication skills with vendors, F&B managers, chefs, and Accounts Payable.
Team‑player mindset aligned with the property’s values and service culture.
Preferred (but not always required)
Experience with hotel systems such as BirchStreet, MICROS, or similar platforms.
Knowledge of health, safety, and sanitation regulations.
