Answer switchboard calls and check patients in/out of the facility. Perform appointment scheduling, receive payments, respond to information requests, update patient information, take prescription details, and float as needed per the Patient Services Supervisor. All employees are expected to participate in quality improvement projects, risk identification, training, and meetings, contributing to overall team spirit and cooperation.

Responsibilities

Answer and manage all calls that come into the switchboard and assist the caller or direct as specified.

Liaise between patients and clinical staff, communicating possible delays.

Check‑in and register all patients for EHC by greeting them professionally and courteously.

Verify, input, and update patient insurance and demographic information accurately at every visit.

Scan insurance cards into an electronic system.

Maintain confidentiality at all times per HIPAA laws.

Receive and convey messages accurately in writing, verbally, and electronically.

Inform patients of the cost of care, including co‑pays, sliding fee scale, and self‑pay accounts.

Collect payment from patients at the time of the visit and record each transaction into the system.

Work with the Billing Office to enhance the revenue cycle.

Assist patients as needed for completing forms, obtaining a wheelchair, or stability support.

Schedule and reschedule appointments in person, over the phone, and for providers.

Update schedules regularly, including wait‑list patients, to keep providers' schedules filled.

Block out schedules for vacations, holidays, and time off; notify patients of rescheduled appointments by phone or letter.

Triage calls from pharmacies, other providers, and patients.

Maintain patient medical charts (paper or electronic); adhere to documenting guidelines.

Prepare charts for the day, including medication lists, lab results, and other required information.

Anticipate provider needs and ensure availability of necessary items.

Maintain and update medication lists in patient charts as changes occur.

Distribute samples to patients per provider direction and maintain a sample log.

Welcome pharmaceutical reps and record any samples presented.

Enter non‑controlled substance refills into the HER and send to the pharmacy as a provider delegate.

Fax documents to Athena and process them into patient charts.

Sort and open mail; maintain a stamp supply.

Maintain clean forms in files and copy as appropriate.

Obtain signatures from patients picking up Schedule‑II prescriptions, fax to Athena, process, and provide copies to the office manager.

Maintain cleanliness of the business office, waiting room, and other clinic areas as requested.

Work collaboratively with co‑workers, multitasking as required.

Participate in professional development and required meetings.

Perform other duties as instructed by the supervisor in a changing medical practice.

Act as a screener or fill in the business office as needed.

At day’s end, reconcile funds and verify all collected money.

Review medical schedules to make changes, complete unfinished tasks, and close the office securely.
