Overview

Under the direction of the Patient Access Registration Front Line Manager, the Acute Care Hospital Registrar 2 is a subject matter expert who mentors staff to meet Beaumont Health and departmental standards and performance metrics. Serves as a Management Team representative in the supervisor’s absence to resolve problems, handle downtime, and initiate disaster procedures as appropriate. May assist in scheduling staff, assigning tasks, managing work queues, and supporting special projects. Responsibilities

Perform all Registrar tasks and serve as an expert resource for Registration staff. Be assigned to a variety of work areas to provide registration services to clinical departments and patient services.

Performs Registrar tasks as an expert resource for other staff. Assist with front line problem solving on a day-to-day basis.

Provide excellent customer service with a warm, friendly reception. Direct patients to appropriate settings, explain delays, and maintain professionalism and diplomacy at all times.

Register patients for each visit type and admit type and service area via EPIC (Electronic Medical Record). Collect and document all required demographic and financial information. Appropriately activate, convert, and discharge visits in EPIC.

Review patient insurance, identify the correct plan, select appropriately in EPIC, and document the correct insurance order. Apply recurring visit processing according to protocol. May facilitate use of electronic registration tools (kiosks, etc.).

Verify patient information with third-party payers. Collect insurance referrals and documents in EPIC. Communicate with patients and physician/office regarding authorization/referral requirements. Obtain financial responsibility forms or completed electronic forms as necessary.

Complex Financial Advocacy: Engage in financial advocacy activities with Financial Representatives, Patient Financial Services, and outside resources as needed to resolve questions, initiate payment plans and re-bills, and obtain payments. Integrate scheduling tasks with Financial Advocacy so patients are cleared during scheduling.

May perform financial reviews and calculate complex estimates prior to cases going to the Financial Advisor team.

Review and obtain/witness hospital consent forms and the Notice of Privacy Practices. Screen outpatient visits for medical necessity. Provide cost estimates. Collect and document Advance Directive information, educate patients as necessary. Collect and document Medicare Questionnaire, issue Medicare Letter as required, and enter data per Meaningful Use requirements. Scan required documents into EPIC.

May issue receipts and complete cash balance sheets in designated areas. Use audits and controls to manage cash accurately and safely.

Transcribe written physician orders, clarify with physicians/office staff as needed. Determine and document ICD-10 codes. Perform medical necessity checks and issue ABN as appropriate for Medicare primary outpatients (excluding lab-only outpatients).

Mark duplicate Medical Records for merge; research potential duplicates to verify status. Use system resources and contact patients as needed.

Affix wristbands to patients and prepare patient charts. Manage and prepare reports, schedules, and paperwork. Maintain inventory of supplies.

Assist with scheduling and review of initial time-off requests for management review.

Complete audits and task lists as assigned by the management team.

Act as a preceptor or shadow newer staff as assigned. Maintain department standards for professionalism, productivity, targets, and quality. Serve as a management representative in the Supervisor’s absence to manage technical problems, questions, clinical issues, and service concerns.

Initiate and execute Epic downtime and disaster procedures/drills as appropriate.

Coordinate with leaders across the organization to resolve issues using the chain of command process.

Work with Supervisor on process improvement projects, new process flows, new-hire training, and other projects as needed.

Merge Duplicate Medical Records: research duplicates and contact patients as necessary.

Participate in Joint Commission or other regulatory reviews as needed.

Correct work queue accounts and insurance rejections within 1–2 business days to support efficient billing.

Perform other duties as assigned; lead Registration activities to resolve problems and initiate downtime and disaster procedures as appropriate.

Maintain or exceed Corewell Customer Service Standards: Service, Ownership, Attitude, and Respect. Provide a seamless Corewell experience and remain compliant with TB testing and Flu vaccination requirements.

Qualifications

Required High School Diploma or equivalent

1 year of relevant experience in a customer service role or healthcare industry

Must be 18 years of age, as required to co-sign legal documents (hospital consent forms, etc.)

Proficient in medical terminology and typing (approximately 30 words per minute)
