Hamilton Island is home to some of the country’s most sought-after ceremony locations and reception venues, welcoming couples from around the world to celebrate surrounded by the beauty of the Whitsundays and the Great Barrier Reef.

We are seeking an experienced, detail-driven Events Coordinator specialising in weddings to join our Hamilton Island Weddings team. In this role, you’ll work closely with couples, celebrants, stylists, suppliers, and internal departments to bring dream weddings to life with precision, care and exceptional service.

Where you’ll make an impact

Plan, coordinate and deliver weddings across a variety of island ceremony and reception venues

Serve as the key liaison for couples, guiding them through the planning journey from initial enquiry to their big day

Prepare all wedding documentation including itineraries, event orders and detailed run sheets

Oversee ceremony and reception setups, ensuring every detail reflects each couple’s vision

Coordinate with internal departments and external suppliers to ensure seamless execution

Manage wedding accounts, including invoicing, deposits and final payments

Conduct site inspections, pre-wedding briefings and post-event debriefs to support continuous improvement

What we’re looking for You’re a motivated and organised events professional with a passion for weddings and meaningful guest experiences. Calm under pressure, solutions-focused, and naturally warm in your communication, you thrive on bringing beautiful events to life with precision and professionalism.

To be successful, you’ll need:

Demonstrated experience in event coordination or hospitality operations (Essential)

Valid Drivers Licence (Essential)

Ability to obtain a Restricted Drivers Authority (Essential)

QLD or Nationally Recognised Responsible Service of Alcohol Certificate (Essential)

Proficiency in Microsoft Office and event/CRM systems (Essential)

Excellent communication, relationship-building and organisational skills

Flexibility to work varied hours to support wedding schedules across the island
