Responsibilities Job Summary:
Provide advanced secretarial support to Clinical Investigators and the Clinical Manager at the Virginia G. Piper Cancer Center Clinical Trials Program, overseeing daily administrative activities in an ethical, confidential, and accurate manner.
Essential Functions
Coordinate the preparation and submission of manuscripts, abstracts, and presentations. Assist in preparing posters, PowerPoint slides, and other printed materials.
Maintain accurate, up-to-date calendars for investigators and schedule conferences, trips, or transportation for business travel. Provide detailed travel itineraries and process reimbursement paperwork. Review schedules in advance to anticipate conflicts, and track Paid Time Off and Continuing Medical Education credits.
Schedule all meetings and conference calls. Record accurate data for investigators, including call setup, minutes transcription, and catering coordination.
Perform advanced secretarial duties such as transcription, typing, operating computers, copying, faxing, emailing, and scanning. Proficient with office automation products (Microsoft Word, Excel, PowerPoint, RefWorks) or related equipment.
Assist administration with new login requests, payment authorizations, ordering materials (computers/phones/business cards), entering work orders, scheduling interviews, and catering. Provide status updates on assigned projects.
Maintain departmental correspondence, composing and typing routine letters, reviewing drafts for spelling, format, and grammar. Write new policies and procedures as needed.
Maintain effective communication with all professional levels, including physicians, research coordinators, managers, hospital administration, sponsors, and their representatives. Screen calls, incoming mail, publications, and other correspondence.
Coordinate credentialing and maintain licenses for Clinical Investigators, and record departmental activities and administrative expenses.

Bachelor’s degree – Preferred
Associate’s degree or 4 years of related experience – Required
