Confidential Executive Assistant – Appointed

Essential Duties:
Supervise staff, including prioritizing and assigning work, evaluating performance, ensuring training and compliance with policies, maintaining a safe environment, and making hiring, termination, and disciplinary recommendations.
Assist an Elected or Appointed Official by coordinating work efforts, managing information flow, preparing confidential or technical correspondence and reports, and providing research on special projects as needed.
Maintain and control appointments and calendars for Elected Officials.
Handle requests for information from the general public, media, County staff, and Officials.
Provide administrative support: answer phones, take messages, file, fax, prepare mailings, order supplies, perform data entry, monitor office inventory, and undertake other related tasks.
Research, gather, analyze, and document file data, verify the completeness and accuracy of correspondence, record legal documents, and perform related activities.
Assist in developing and tracking budget and department information, recommend budget figures, maintain balances, research discrepancies, and prepare financial reports.
Assist in overseeing department programs by reviewing forms and documents for compliance with policies and procedures.
Perform other duties of a similar nature or level as assigned.
Public Speaking Duties:
Communicate orally to deliver instructions and guidance to coworkers, supervisor, the general public, and others.
Exchange and convey information to coworkers, supervisor, the general public, and others.
Other Job Requirements:
Position is a civilian role in a public safety department or Information Technology with close ties to public safety. Requires a public safety background including potential criminal history checks and fingerprinting.
Fingerprinting required.
May require on-call rotation and emergency after-hours, weekends, and/or holidays.
Minimum Qualifications:
Associate's degree and four years of related experience providing executive-level administrative support.
Or an equivalent combination of education beyond the associate's degree and experience sufficient for successful performance of the essential duties.
