Job Description This class is responsible for providing administrative/technical expertise in an organizational element that directly supports an Elected or Appointed Official. Incumbents have regular and recurring contact with elected officials or their staff and must maintain confidential and sensitive information, may supervise staff, and are responsible for providing customer service, handling information requests, assisting with budget preparation, and performing other administrative functions. This position is a grade 101.

Essential Duties

May supervise staff to include prioritizing and assigning work; conducting performance evaluations; ensuring staff are trained; ensuring that employees follow policies and procedures; maintaining a healthy and safe working environment; and, making hiring, termination, and disciplinary recommendations.

Assists an Elected or Appointed Official by coordinating work efforts and managing the flow of information to appropriate personnel, preparing correspondence and various reports of a confidential or technical nature, and provides research on special projects as needed.

Maintaining and controlling appointments and calendars for Elected Officials.

Handles requests for information from the general public, media, County staff, and Elected or Appointed Officials.

Provides administrative support to include answering phones, taking messages, filing, faxing, preparing mailings, ordering supplies, data entry, monitoring office inventory, and performing other related activities.

Researches, gathers, analyzes, and documents file data and information to include performing research, recording legal documents, verifying the completeness and accuracy of correspondence of files and records, and other related activities.

Assists in developing and tracking budget and department information, such as recommending budget figures, maintaining balances, researching discrepancies, and preparing related financial reports.Assists in overseeing department programs by reviewing forms and documents for compliance with policies and procedures.

Performs other duties of a similar nature or level.

Public Speaking Duties

Ability to communicate orally to deliver instructions and guidance to coworkers, supervisor, the general public, and/or others.

Skill in exchanging and conveying information to coworkers, supervisor, the general public, and/or others.

Other Job Requirements/Information

This job is a civilian position in either a public safety department or in Information Technology with close ties to public safety. Due to the sensitive nature of this position, a public safety background which may include motor vehicle & criminal histories, and fingerprinting.

This job requires fingerprinting.

This job may require on-call rotation and emergency after hours, weekends, and/or holidays.

Grade The grade for the position is 101.

Minimum Qualifications

Associate's degree AND

Four years of related experience providing executive level administrative support.

An equivalent combination of education beyond the associate's degree and experience sufficient to successfully perform the essential duties of the job such as those listed above will also be considered.
