Responsibilities

Conduct in‑house real‑time audits on program files ensuring procedural guidelines and eligibility standards are met.

Complete eligibility audits for assigned programs within designated timelines with complete accuracy.

Maintain Workforce Development file‑management system for all client and program files, ensuring accurate, timely, and complete program and personnel status data.

Assist the research and analysis of assigned programs to produce reports pertaining to audits.

Maintain all spreadsheets, including audit tracking, with special emphasis on gathering relevant data and accuracy for audits.

Assist with inventory management, Test Center operations, reception area coverage, monthly meeting preparation, issuing Support Service vouchers to program staff, providing administrative support to members of Workforce Development, and any other duties as assigned.

Maintain the Workforce Development calendar and meeting room reservations.

Assist with creating content for WFD Professional development training and collaborate with the team on brainstorming innovative ideas for increasing culture and training.

Assist with updating new hire onboarding, including preparing new hire documents and updating training documents and videos for WFD.

Skills and Minimum Qualifications

One year of secretarial/administrative support experience.

Some college education preferred.

Proficiency with Microsoft Word, Excel, Outlook, and the Internet.

Excellent attention to detail, time‑management, math, spelling, and grammar skills.

Clear oral and written communication skills.

Experience in office procedures and use of normal office machines.

Ability to learn quickly and work independently.

Physical Requirements Office environment, mobile, ability to sit for prolonged periods of time, and ability to lift 10‑15 lbs periodically.

Legal Requirements Documentation to meet I‑9 requirements, drug screen, background check, and meet staff qualifications set by Texas Department of Assistive and Rehabilitation Services.
