Job Title: Administrative Assistant
Work Location: Hybrid - Building 43, Puget Sound, WA
Duration: 5 Months (high possibility for an extension after the budget approval)
Work Schedule: Monday-Friday, 40 hours/week. Overtime: Potential OT

1. Calendar Management & Meeting Logistics
- Manage complex calendars and time planning for leadership (e.g., Directors)
- Align schedules based on leader preferences and business priorities
- Manage conference rooms and shared calendars
- Book meetings and troubleshoot AV/technical issues
- Handle ambiguous scheduling scenarios with professionalism
2. Business Support & Onboarding
- Act as a primary point of contact for new hires, vendors, and interns
- Support onboarding logistics (equipment orders, workstation setup, DLs, security groups)
- Provide general office and administrative support across teams
3. Event Coordination & Logistics
- Support planning, promotion, coordination, and execution of events
- Assist with event itineraries and logistics
- Serve as point of contact for event changes
- Provide onsite event support as needed
4. Resource, Financial & Vendor Management
- Track and manage inventory, hardware, and office supplies
- Process expense reports in compliance with Microsoft policy
- Track discretionary budgets (morale, hardware, supplies)
- Manage vendors, purchase orders, and financial processing
- Support budget management in partnership with Finance and Business Managers
5. Travel Management
- Coordinate and manage travel arrangements for leadership and team members
Required Qualifications
- 4+ years administrative, business support, or customer service experience
- 4+ years managing complex calendars and travel for leadership teams
- 4+ years handling budget tracking, expense reporting, and headcount coordination
- 4+ years experience with event planning/coordination, catering, and ordering
Preferred Qualifications
- Bachelor's degree (preferred, not required)
- Strong written and verbal communication skills
- Experience supporting large organizations
- Comfortable working in fast-changing, dynamic environments
- Demonstrates discretion and professionalism with confidential information
- Proactive, reliable, and collaborative team player
- Experience with Microsoft tools:
- Outlook, Teams, Word, Excel
- Employee Central, MyOrder, MSTravel, MS Space, Expense Management
- Familiarity with Microsoft systems, security groups, POs, and asset tracking (plus)
