Role Overview The Design Review Coordinator will execute the Design Review Application process based on the governing documents and prepare meetings for the Design Review Committee. This position will also serve as liaison between homeowners, the Design Review Committee, and works in conjunction with the Design Review Assistant.

Responsibilities

Handle all walk‑in traffic for submittals and inquiries

Handle all correspondence to homeowners in response to their submitted applications

Provide information on building envelopes

Serve as the liaison between the Association Architect, homeowner’s architect, and homebuilders for custom homes to ensure compliance with the Custom Home Guidelines

Assist with front desk coverage, answer the phone, handle walk‑in traffic for account and membership questions, and issue resident membership cards

Assist in the creation and adoption of Design Review violation policies and standard operating procedures based on State Statutes and the Community Association’s governing documents

Provide information, assistance, materials and education to homeowners regarding the Design Guidelines

Perform visual inspections of residential properties as needed for the Design Review process

Interpret and assist in enforcing the Design Guidelines

Work effectively with homeowners to ensure compliance

Create and maintain accurate reports of reviews and inspections performed

Prepare other effective written communications

The Ideal Candidate Should

Be motivated, a self‑starter, flexible, detail-oriented, and have excellent people skills

Possess outstanding customer service, professional communication, organizational and leadership skills

Have experience in a homeowner association operation

Be highly organized with the ability to multi‑task

Candidates should also have the ability to maintain good working relationships with Board and Committee members, staff, residents, volunteers and should have working knowledge of Microsoft Word, Excel spreadsheets and the ability to learn and use VMS and Smartwebs.

If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify Human Resources immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.

Physical Requirements

Mobility: Ability to walk the grounds long distances in various weather conditions.

Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.

Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.

Manual Dexterity: Skills in using technology, including computers and mobile devices.

Driving: Ability to operate vehicle to perform certain job functions. (Please note: We will request and review an MVR at the time of hire and on a periodic basis thereafter to ensure that employees maintain a satisfactory driving status.)
