Job Description The

Student Assistant-Insurance and Risk Management (IRM) Specialist

reports to the Insurance Coordinator who falls under Environmental Health and Safety. The

Student Assistant IRM Specialist

will support the daily operations of the University’s insurance and risk management programs. This position assists with administrative tasks, analytical work, data management, and research activities related to insurance, loss control, and risk analysis. The role requires strong attention to detail, willingness to learn, and the ability to support departmental processes involving risk data, insurance program coordination, and policy development. This position contributes to efficient office operations, accurate data handling, and effective coordination with internal stakeholders.

Responsibilities 40%- Data Analytics and Operational Support:

Assist in collecting, organizing, entering and analyzing risk and insurance data.

Conduct research to support policy development, insurance program administration, and loss-control initiatives.

Utilize Excel and other office productivity tools to prepare spreadsheets, reports, and summaries.

Perform data review tasks including dissecting and extrapolating information to identify trends, errors, or insights.

Support ongoing risk management projects through data queries and research-driven tasks.

Assist with general office duties, including filing, scanning, organizing records, and moving/lifting items up to 30 lbs.

25%-EHS and IRM System Administration:

Serve as an administrator for the Environmental Health and Safety Management System.

Provide technical support and system training to departmental module leads and end users.

Generate data reports, dashboards, and analysis to support decision-making and compliance requirements.

Coordinate with the system vendor and University IT for system enhancements, integrations, and troubleshooting.

Support process improvement by maximizing system functionality and assisting with optimization of EHS workflows.

25%- Policy Management and Support

Assist with the administration of insurance programs including property, liability, and workers’ compensation.

Help organize insurance documentation, certificates, policy files, and renewal materials.

Coordinate with other departments to gather information related to risk assessments and coverage needs.

Support the development and maintenance of departmental procedures, forms, and policy documents.

10%- Other Duties as Assigned

Participate in cross-functional initiatives and projects to support departmental goals.

Serve as a liaison between EHS and internal/external stakeholders when needed.

Support team coverage and continuity in collaboration with other administrative support personnel.

Assist in reviews of events/activities and other risk management support as needed.

Qualifications

Current USF student pursuing a degree in Business Administration, Risk Management/Management, Finance, Accounting, Public Administration, or a related field.

Preferred Qualifications:

Experience with office productivity tools including spreadsheets, word processing, and basic database systems

VLOOKUPs, Pivot Tables, etc.

Strong written and verbal communication skills

Proficiency in Microsoft Excel and the full Microsoft Office Suite

Ability to dissect and extrapolate data for analysis

Demonstrated initiative and self-starter mindset

Experience with financial, analytical, or administrative tasks preferred

Ability to work 12+ hours per week

Willingness to learn new systems, processes, and analytical methods

Ability to work effectively with others and contribute to a team environment

Additional Information for Applicants:

Up to 20 hours per week flexible around class schedule within business hours of 8:00 am - 5:00 pm, Monday-Friday, in-office attendance.
