About the role
The Travel Camp Coordinator plans and leads off-campus trip operations for older campers. You’ll build itineraries, book vendors, manage budgets and logistics, supervise staff, and ensure every trip is safe, inclusive, on time, and fun. This is a supervisory role that reports to the Camp Director. Responsibilities
Plan calendars and itineraries; secure vendors, tickets, waivers, and schedules; prepare contingency/rain plans. Lead daily trip briefings; assign staff roles; manage rosters, headcounts, communication, and timing. Coordinate boarding/deboarding, site rules, hydration/heat guidance, and emergency readiness. Communicate professionally with families, vendors, and staff; handle escalations and follow-up. Oversee documentation: incident/accident reports, behavior notes, and parent contacts. Manage trip kits (first-aid, emergency cards, radios), receipts, and basic budget tracking. Monitor conditions and venues; report hazards/maintenance; uphold sanitation and allergy protocols. Meet or exceed ACA practices and Virginia child day program licensing standards. Be punctual, prepared, and flexible; perform other duties as assigned by the Camp Director or designee. Understand that duties/schedules may be adjusted by the Camp Director (or designee) to meet program needs. Preferred Qualifications
Experience coordinating youth field trips/travel programs and supervising staff. MAT
(or able to obtain), Pediatric
First Aid/CPR , and strong risk‑management judgment. Excellent logistics, vendor coordination, and family communication skills. Organized, calm under pressure, and comfortable outdoors/onsite all day. Eligibility
Must be
21+
by the first day of employment and able to pass required background/screening checks per School and Virginia regulations.
