This position is an exciting opportunity for an entry level bookkeeper who has a passion and desire to learn full-cycle accounting. In this role, you will be working directly with the Accounting Manager and will be exposed to all facets of accounting, including accounts payable and receivable, various account reconciliations, payroll, and financial reporting.
The primary duties of this role will focus on supporting the accounting and administrative support functions in our small, but fast-paced, family-owned & operated offices located in the West Bottoms. This position requires self-motivation, creativity, problem solving, attention to detail, and the ability to prioritize many tasks at any given moment for multiple small businesses. Knowledge and experience with QuickBooks Online, Microsoft Excel, and the ability to learn quickly, are all essential to succeed in this position.
Primary Functions
Manage and reconcile tenant utility billing: cross‑reference electric, gas, water, and trash bills with internal meter readings to calculate and process billings.
Thrives in a self‑directed work environment and is comfortable managing their own workflow without frequent oversight.
Works effectively on‑site; this is an office‑based position and is not eligible for remote work.
Has strong initiative and can proactively identify priorities, especially during time‑sensitive tasks.
Is highly organized and dependable, with the ability to manage multiple deadlines and independently determine what requires immediate attention.
Other Key Responsibilities
Accounts Receivable:
Monthly invoicing to multi‑tenant properties (rent, utilities, security)
Receive payments via mail or in‑person, including paper checks or credit cards
Manage payments in QuickBooks and create bank deposits
Ongoing verbal and electronic communication with tenants regarding their bills and other various issues as needed
Tenant file and customer account maintenance
Accounts Payable:
Weekly bill entry for payment
Process check runs, and mail check payments at USPS as needed
Retrieve bills from mail or print if electronic
Vendor account maintenance
Human Resources:
Various payroll cycle support
Employee tax document creation and filing
Benefits administration
Employment verification
General Ledger/Banking:
Data entry for dozens of credit card and bank accounts
Monthly reconciliations and closing process support
Credit card statement and paper receipt reconciliations
General Administration:
Show property to prospective tenants
Support the office with physical paper and digital filing
Open, sort, and distribute daily mail
Respond to calls and emails regarding various department inquiries
Monitor door and greet visitors
Purchase and stock office supplies
Support office and maintenance crew personnel as needed
Other duties as assigned
Qualifications & Skills
Expert‑level knowledge of QuickBooks Online (highly preferred)
2+ years of billing/accounts receivable experience (highly preferred)
3+ years of administrative/receptionist experience (preferred)
High School Diploma/GED required; advanced education in accounting/finance a plus
Excellent communication and interpersonal skills
Strong organizational skills with meticulous attention to detail
Ability to work independently while contributing to team goals
Valid driver's license and reliable transportation required
Compensation & Benefits
Salary: $40,000 - $45,000 per year, depending on experience
