Job Title: Receptionist

Position Summary The Receptionist is the first point of contact for residents, families, visitors, vendors, and staff at the skilled nursing facility. This role is responsible for creating a welcoming and professional environment while ensuring the safety, security, and confidentiality of the facility. The Receptionist provides clerical and administrative support and plays a key role in communication and customer service.
Essential Duties and Responsibilities
Greet residents, family members, visitors, and vendors in a courteous and professional manner
Answer and route incoming phone calls promptly and accurately
Monitor and enforce visitor sign-in procedures in accordance with facility policy
Communicate visitor arrivals to appropriate departments or staff
Maintain resident and facility confidentiality in compliance with HIPAA regulations
Provide general information regarding facility services, visiting hours, and policies
Receive, sort, and distribute mail and deliveries
Manage the resident trust accounts
Assist with clerical tasks such as copying, filing, data entry, and correspondence
Notify appropriate personnel of emergencies, concerns, or unusual situations
Maintain cleanliness and organization of the reception area
Schedule the part‑time receptionists
Take photos of all new admissions and enter them into the electronic medical record
Qualifications
High school diploma or GED required
Previous receptionist or customer service experience preferred; healthcare or long‑term care experience a plus
Strong communication and interpersonal skills
Ability to multitask and remain calm in a fast‑paced environment
Proficiency with basic office equipment and computer applications (phones, fax, copier, email)
Professional appearance and demeanor
Knowledge, Skills, and Abilities
Excellent verbal and written communication skills
Strong customer service orientation with compassion and patience
Ability to maintain confidentiality and exercise discretion
Dependability, punctuality, and reliability
Ability to work independently and as part of a team
Physical Requirements
Ability to sit or stand for extended periods
Ability to lift up to 10 pounds occasionally
Ability to communicate effectively in person and by telephone
