The NC Aquarium Society seeks a highly organized, proactive, professional, and solutions-oriented Executive Coordinator. Reporting to the President and Chief Executive Officer, the Executive Coordinator will serve as a full-time strategic partner to the President and CEO.
The NC Aquarium Society is the nonprofit support arm for the state NC Aquarium Division which includes three aquariums (Fort Fisher, Pine Knoll Shores, Roanoke Island) and Jennette’s Pier in Nags Head. Based in Raleigh, the 501(c)3 nonprofit Society supports the NC Aquariums by generating funds for conservation, education and research through membership, retail sales, advocacy, and philanthropic engagement.
This is an extraordinary time to join the NC Aquarium Society in Raleigh as we continue to grow our collaborative team to respond to the funding needs of the NC Aquariums as outlined in their new strategic plan. In addition, the NC Aquariums will celebrate 50 years of service to our state in 2026 while embarking on major expansion of our largest facility, the NC Aquarium at Fort Fisher.
The Executive Coordinator is a recently created position central to the Society’s strategic growth and serves as the strategic and operational backbone of the CEO’s office. Coordinating key organizational projects and communications for a statewide Board and staff team, this is a unique opportunity for someone who thrives on bringing structure to complexity, anticipating needs before they arise, and taking pride in ensuring no detail is overlooked. The ideal candidate balances professionalism with warmth and can confidently manage multiple priorities, communicate clearly, and embody a solution-oriented mindset. The person serves as the organization’s first impression with office callers and visitors and is a vital connector between the CEO, staff, and Board of Directors.
The EC will create capacity for the President & CEO to focus on high-level strategy and relationships while ensuring that critical initiatives advance seamlessly and the organization operates with excellence. Acting as a hub for project communication, logistics, and execution, the EC ensures that priorities remain aligned, progress is visible, and information flows smoothly and consistently. This role requires a high degree of discretion, operational acumen, and the capability to manage sensitive matters involving senior executives, board members, Division staff, and donors. The EC ensures the CEO’s time, priorities, and communications are effectively aligned with the organization’s mission and strategic goals.
Primary responsibilities include 1) Manage the CEO’s calendar, travel, and communications 2) Serve as the Board liaison and support the planning and execution of Board meetings and communications and document sharing in the Board portal 3) Coordinate projects that may involve both Society and Division staff 4) Provide day-to-day office support including mail distribution, telephone and in-person inquiries, managing the supply room and other projects as assigned.
Required Qualification/Experience:
A strong affinity for the goals and mission of NC Aquarium Society.
Minimum of 5 years of related experience and/or training; or equivalent combination of education and experience.
Experience in supporting or coordinating with Boards of Directors or equivalent governance bodies is preferred.
Excellent interpersonal skills and a demonstrated problem-solving ability.
Demonstrated success managing multiple projects and deadlines with strong attention to detail.
Excellent written and verbal communication skills, including the ability to represent leadership with professionalism and discretion
Comfort working both independently and collaboratively with others.
Demonstrated ability to behave in a lawful, ethical, and professional manner while carrying out the duties of this position and in maintaining confidentiality of sensitive information.
Willingness to travel, primarily by car, within 4 hours of Raleigh, a minimum of 3 times each year.
Availability to work on weekends occasionally for key meetings and events.
Strong computer skills, including Microsoft Office Suite, and ability to learn OnBoard and DonorPerfect
Pass a criminal background check.
Valid driver’s license, auto insurance, and reliable transportation.
This is a non-exempt position with a starting salary of $45,000
