Senior Administrative Assistant POSITION SUMMARY
An Administrative Assistant oversees day-to-day organizational tasks and facilitates efficient communication across an office or department. They answer phones, manage office calendars, update databases and complete general clerical work and recordkeeping tasks. ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES
Assistant Administrators oversee working with vendors to maintain office equipment and supplies. Creation of reports, spreadsheets and presentations may also be included in their job description. Provides administrative support to ensure efficient operation of the office as directed by the Senior Administrative Assistant. Answers phone calls, schedules meetings and supports visitors. Exhibits polite and professional communication via phone, e-mail, and mail. Carries out administrative duties such as filing, typing, copying, binding, scanning, etc. Ensures compliance with all record-keeping processes and policies. Supports team by performing tasks related to maintaining an organized, clean and safe work environment. Maintains supplies inventory, supports replenishment and procurement as needed. Contributes to team effort by accomplishing related results as needed. Other duties as assigned by supervisor. JOB SCOPE:
Responsible for supporting administrative duties across multiple departments as needed to ensure support and completion of company-wide projects. KNOWLEDGE SKILLS AND ABILITIES
Microsoft Office 365 - Must be able to demonstrate advanced proficiency with Microsoft Excel and high proficiency using Word and Outlook; navigating SharePoint is desirable. Professional Communication - Must be able to demonstrate professional verbal communication and exceptional written communication skills, including correct grammar, spelling and syntax, in letters, emails and other documents. Common Office Technologies - Must be able to utilize printers, copiers, scanners, fax machines, phone systems, cellular and other mobile devices appropriate in a business environment. Organization - Must be able to demonstrate the ability to maintain an orderly and organized physical and digital environment. EDUCATION AND/OR EXPERIENCE
High School Diploma 1-2 years of experience in an administrative support role. PHYSICAL DEMANDS
Work is conducted in a dynamic, fast-paced office setting with moderate to loud noise levels from production activity.
