Position Overview The Shipping Clerk is responsible for coordinating and executing all shipping and receiving activities to support efficient warehouse and production operations. This role ensures accurate receiving, storage, documentation, and dispatch of raw materials, packaging, and finished goods in accordance with company procedures, quality standards, and customer requirements. The Shipping Clerk verifies incoming and outgoing shipments, maintains accurate records in SAP and related systems, prepares all required shipping documentation, and communicates effectively with warehouse, production, quality, and carrier partners. The position requires strong attention to detail, safe operation of material handling equipment, and consistent adherence to safety, quality, and housekeeping standards in a fast‑paced industrial manufacturing environment.

Primary Responsibilities Essential functions may include the following tasks, knowledge, skills, and other characteristics. Shipping & Receiving Operations

Coordinate and process incoming and outgoing shipments, including courier, LTL, parcel, and freight deliveries.

Physically verify all inbound deliveries against the bill of lading, delivery note, and purchase order; document and report discrepancies or damages promptly.

Perform accurate goods receipt transactions in SAP (or other ERP system) for all inbound deliveries in a timely manner.

Safely and efficiently load and unload trucks and/or containers with finished goods, raw materials, and other items using appropriate material handling equipment as and when required (e.g., forklifts, pallet jacks).

Documentation & System Transactions

Prepare complete and accurate shipping documentation, including delivery notes, packing lists, shipping labels and bills of lading as required.

Maintain proper document control and filing for all shipping and receiving records, including delivery notes, shipping labels, customs documents, and bills of lading, in accordance with company policy and audit requirements.

Enter, update, and verify shipment and inventory data in SAP and related systems to ensure data accuracy and traceability.

Prepare weekly and monthly shipping and receiving reports, including key metrics as requested by management.

Inventory & Material Flow Support

Apply product labels and internal identification tags to all received materials to enable proper put‑away, traceability, and inventory control.

Coordinate with warehouse personnel to ensure timely put‑away of inbound materials and accurate location updates.

Keep warehouse and production teams informed of delivery status, delays, and any changes to inbound or outbound schedules.

Quality & Compliance

Supply sample materials to the Quality Control (QC) lab per established control protocols and procedures.

Support adherence to quality standards and regulatory requirements related to shipping, receiving, and material handling.

Report nonconforming materials, packaging damage, or shipment discrepancies to the appropriate stakeholders (e.g., Purchasing, Quality, Warehouse Supervisor).

Communication & Coordination

Communicate proactively with warehouse, production, purchasing, customer service, and carriers to resolve shipping and receiving issues and support on‑time delivery.

Participate in daily or periodic operations meetings as needed to review shipping priorities and constraints.

Operate forklifts and other material handling equipment safely, in compliance with company and OSHA regulations.

Consistently follow all safety, security, and PPE requirements, and promptly report unsafe conditions or incidents.

Maintain a clean, organized, and hazard‑free work area in accordance with 5S or similar housekeeping standards.

Education/Experience/Qualifications

Preferred: High school degree, GED, or equivalent

Forklift Certified (sit down and stand up)

1+ years of experience in warehouse operations

Technical Proficiency – Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
