Position Overview: The Executive Assistant plays a critical role in supporting the Chief Executive Officer and the Board of Trustees while helping advance CHELCO’s mission, values, and culture. This position serves as a trusted partner and liaison to Cooperative members, the Board, executive leadership, employees, and community leaders.

This role requires a consistently professional appearance and demeanor, exceptional integrity, sound judgment, discretion, and maturity. The Executive Assistant is expected to model professionalism, foster positive relationships, and support effective governance and organizational operations at the highest level.

What You’ll Do:

Serve as a key liaison to the Board of Trustees and as a representative for the Chief Executive Officer, supporting communication and relationships with Cooperative members, the Board, Executive Team, employees, community leaders, and external partners.

Communicate information to and from executive leadership with professionalism, discretion, and thoughtful judgment.

Manage and prioritize assignments and requests from the Chief Executive Officer, working independently and collaboratively with executive staff on special projects and initiatives.

Prepare for and attend monthly Board meetings, quarterly subsidiary Board meetings, Board committee meetings, Foundation Board meetings, the Annual Meeting of Members, strategic planning sessions, and other governance-related meetings.

Coordinate with Administrative Support staff to ensure seamless meeting logistics, materials preparation, and meal arrangements, as applicable.

Partner with departments across the Cooperative to ensure compliance with Bylaw requirements related to the Board of Trustees election process and serve as the primary point of contact for Trustee candidates.

Share leadership responsibility with the Senior Vice President of Member Services and Community Affairs in planning and coordinating the Annual Meeting of Members.

Take the lead in, or provide support as needed for, planning strategic planning sessions for CHELCO and Southland Utility Services, All-Employee Meetings, Board and Nominating Committee meetings, and other company-wide meetings and special events.

Required Qualifications

High School Diploma or equivalent with a minimum of ten (10) years of related experience; Associate Degree in a business-related field (or equivalent) with at least five (5) years of related experience.

Strong knowledge of administrative and clerical procedures, including records management, document control, scheduling, and general office practices.

Proficiency with Microsoft Windows and Microsoft Office applications, including Word, Excel, and PowerPoint.

Strong understanding of principles and practices for delivering high-quality administrative and customer service support.

Proven ability to manage multiple priorities, exercise sound judgment, and meet deadlines in a fast-paced environment.

Exceptional written and verbal communication skills, with the proven ability to communicate complex or sensitive information clearly, tactfully, and professionally with internal and external stakeholders.

Strong organizational, analytical, and problem-solving skills.

Ability to build trust and work effectively with executives, peers, employees, and community partners at all levels of the organization.

Ability to understand and interpret information presented verbally and in written form.

The normal work schedule for this position is Monday through Thursday, 7:00 a.m. to 4:30 p.m., and every other Friday, 7:30 a.m. to 4:00 p.m. Hours are subject to change. The position reports to the CHELCO Headquarters building in DeFuniak Springs.
