Position Summary The Executive Assistant (EA) plays a critical role in supporting the CEO and ensuring the smooth operation of the executive office. This highly trusted position focuses on calendar management, executive communications, board and governance support, and coordination with internal and external stakeholders.
The ideal candidate is proactive, detail-oriented, discreet, and experienced in supporting senior leadership within a regulated or fast-paced environment.
Key Responsibilities Executive Support & Calendar Management
Manage and prioritize the CEO’s calendar, including meetings with clients, board members, regulators, auditors, and internal teams
Coordinate domestic travel, lodging, and detailed itineraries
Prepare and distribute meeting agendas, briefing materials, presentations, and reports
Communication & Correspondence
Serve as a primary point of contact for internal and external communications on behalf of the CEO, as needed
Screen, prioritize, and draft professional correspondence (emails, letters, memos)
Handle highly confidential information related to strategy, M&A, personnel, and regulatory matters with discretion
Board & Governance Support
Prepare and coordinate materials for Board of Directors and committee meetings
Collaborate with internal teams to upload reports to the online board portal
Coordinate logistics for board meetings and off-site events
Track board and committee action items, deadlines, and follow-ups
Regulatory & Compliance Support
Maintain organized records related to executive decisions, board activity, and regulatory interactions
Assist with preparation for regulatory exams, audits, and meetings
Adhere to confidentiality, data security, and compliance requirements
Administrative & Project Support
Maintain accurate digital and physical filing systems
Process expense reports, invoices, and reimbursements
Support special projects, strategic initiatives, and cross-department coordination
Serve as a liaison between the CEO and senior leadership, staff, clients, shareholders, regulators, and external partners
Qualifications Education & Experience
Bachelor’s degree in Business Administration or a related field (preferred)
5+ years of executive or administrative support experience
Prior experience supporting C-suite leaders strongly preferred
Banking or financial services experience is a plus
Skills & Competencies
Exceptional organizational, time management, and multitasking abilities
Strong written and verbal communication skills
High proficiency with Microsoft Office (Outlook, Word, Excel, Teams, PowerPoint)
Ability to work independently, anticipate needs, and solve problems proactively
Proven ability to handle confidential information with professionalism
