GENERAL DUTIES

Under supervision, performs office or secretarial work in various units, following relevant procedures (departmental, college, and university). Typical duties include preparing and printing documents, proofreading typed material, using office software for typing, data entry, filing, and report preparation.

Collects, files, and retrieves information; creates filing systems; maintains departmental records and confidential files.

Retrieves and formats computerized data; may take dictation and transcribe notes.

Prepares various forms (e.g., financial aid applications, personnel papers) and proposes templates.

Provides information to faculty, students, employees, and the public; responds to routine inquiries.

Answers and screens telephone calls, directs callers, maintains directories, provides receptionist services, and sets appointments.

Assists in arranging special events, interviewing and supervising staff such as College Assistants and volunteers, and trains new employees.

Communicates with other departments or external agencies to expedite processing of work.

Prepares routine reports, processes financial transactions, purchase and supply orders, verifies deliveries, inventory, and supplies.

Calculates payroll figures, prepares deposit records, refunds, and maintains petty cash accounts with necessary records.

Receives and distributes mail, prepares department mailings and coordinates material distribution.

Assists in registration activities and may process drop/add requests when authorized.

Performs routine upkeep of office machines and may serve on committees.

RESPONSIBILITIES (Registrar Unit Specific)

Respond to inquiries in person, by phone, or by email regarding registration, enrollment, and other registrar services.

Use CUNYfirst to update student records, correct inaccuracies, process major/minor change forms, and manage ePermit requests.

Maintain records per FERPA and record retention policies.

Review and process departmental scheduling submissions, verify meeting patterns and enrollment capacities.

Monitor and maintain the unit’s email account and communications.

Perform other related duties as assigned.

KEY SKILLS & COMPETENCIES

Proficient in Microsoft Office (Word, Excel, Access, PowerPoint, Outlook).

Strong problem‑solving, organizational, and time‑management skills.

Excellent written and verbal communication; ability to interact with employees and the public.

Attention to detail, accuracy, and capacity to analyze work quality.

Reliable, follows instructions, responds to management direction, and improves performance through feedback.

MINIMUM QUALIFICATIONS

A four‑year high school diploma or equivalent.

Two years of general office experience, which may be met by:

Two full‑time years of satisfactory office experience, or

One full‑time year plus 30 semester credits, or

An associate’s degree or 60 college credits.

Passage of a qualifying Work Experience Test.

English language proficiency (speaking, reading, writing, comprehension).

PREFERRED QUALIFICATIONS

Proficiency in MS Office and CUNYfirst.

Strong organizational and time‑management skills.

Excellent written and verbal communication.

Attention to detail and problem‑solving.

Experience in higher education and with diverse populations.

Knowledge of Brightspace and other CUNY systems.

COMPENSATION

New Hire Rate: $35,588

Incumbent Rate: $40,215 (13% salary suppression applies for the first 24 months).

BENEFITS Comprehensive benefits package including pension, tax‑deferred savings plans, health insurance for eligible employees and dependents. Part‑time employees meeting work hour criteria qualify for health benefits.
