to support the OVPR and various Category 3 Research Centers including QNM‑I, ARID and nine others. This position will report directly to the OVPR Associate Director of Finance and Administration with matrixed reporting to center staff and/or faculty of supported centers.

The selected candidate will coordinate, oversee, and perform a wide variety of administrative, secretarial, fiscal, staff support, and planning activities, including budget administration, equipment and facilities management, recordkeeping and database management, information gathering, meeting facilitation, training lower‑graded staff, and planning day‑to‑day operations of OVPR programs and initiatives. This is a term, full‑time, benefits‑eligible position with funding for one year from hire. Continuance beyond that date is subject to additional funding availability. Limited travel within New Mexico may be required.

Duties and Responsibilities

Oversee and perform diverse administrative activities for the OVPR/Category 3 Centers, serving as a central liaison with other departments and external constituencies on a variety of day‑to‑day matters.

Utilize knowledge of operational issues to create, compose, and edit technical and/or administrative correspondence and documentation.

Assist in administrative problem solving, program and project planning, development, and execution of stated goals and objectives.

Research information, compile statistics, and gather and compute various data; prepare special and one‑time reports, summaries, or replies to inquiries.

Monitor, reconcile, and assist with fiscal administration for budgets, funding, grants, contracts, payroll, employment, travel, and purchasing; may assist with fiscal planning and seeking alternate funding sources.

Provide and/or oversee support activities such as answering telephones, resolving visitor inquiries, controlling incoming and outgoing correspondence, and following up on operational commitments.

Assist with faculty and staff searches, logging employment applications, preparing applicant acknowledgements and interview documents, coordinating interview logistics, and managing search documentation.

Schedule appointments, maintain calendars, coordinate and facilitate meetings, facility usage, events, and travel arrangements as required.

Establish, update, and maintain OVPR/Category 3 Center files, inventories, and records; implement and maintain data management systems.

Lead and guide lower‑level staff, supervise student employees as appropriate; participate in hiring decisions and performance appraisals.

May serve as Campus Security Authority as outlined by the Clery Act.

Perform miscellaneous job‑related duties as assigned.

Conditions of Employment

If this position is assigned to the Athletics Department, compliance with all NCAA rules and regulations is required.

Employees who provide services or work in patient care or clinical areas must comply with the university’s influenza vaccination requirement.

All regular, non‑temporary positions in this classification are represented by a labor union under the US‑UNM Collective Bargaining Agreement.

Minimum Qualifications High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that exceed the minimum education requirement may be substituted for experience on a year‑for‑year basis.

Preferred Qualifications

Ability to communicate effectively, both orally and in writing.

Records maintenance skills.

Skill in the use of personal computers and related software applications.

Database management skills.

Knowledge of human resources concepts, practices, policies, and procedures.

Demonstrated ability to maintain confidentiality.

Ability to make administrative/procedural decisions and judgments.

Ability to create, compose, and edit written materials.

Knowledge of computerized information systems used in financial and/or accounting applications.

Knowledge of general accounting principles.
