The Office Services Coordinator provides reception, office services, and administrative support to ensure smooth daily operations and excellent client service. Manages multiple tasks in a fast-paced environment with professionalism and attention to detail.
Key Responsibilities
Reception:
Open/close reception, greet visitors, manage phones, schedule conference rooms, validate parking.
Office Services:
Maintain office equipment and supplies, coordinate access cards, disinfect high-touch areas.
Records:
Organize, catalog, and dispose of records per firm policy.
Conference Rooms:
Reset rooms after meetings, clean surfaces, restock supplies.
Kitchen:
Set up/tear down coffee, restock beverages and supplies, maintain cleanliness.
Mail/Packages:
Sort/distribute incoming mail, process outgoing mail, route checks, manage subscriptions.
Building Maintenance:
Report issues (lighting, HVAC, cleaning) and coordinate with vendors.
Administrative Support:
Prepare folders, stuff envelopes, assist with projects for legal/admin teams.
Adaptable, organized, and detail-oriented.
Strong communication and proofreading skills.
Collaborative and client-focused.
Proficient in Microsoft Office and office technology.
Maintains confidentiality and ethical standards.
Requirements
High School Diploma/GED required
3–5 years’ relevant experience (legal environment preferred).
Typing speed: 60+ WPM.
Ability to lift up to 50 lbs and perform physical office tasks.
