Job Summary The Office Administrator in the Integrated Delivery Services of Congruex plays a key support role, helping to ensure the smooth operation of the office and assisting with administrative tasks related to large‑scale telecom projects.

This role involves a combination of organizational, logistical, and communication responsibilities, working across multiple departments to keep everything running efficiently.

Job Responsibilities

Administrative Support

Managing Documentation: Organize, file, and maintain project‑related documentation (contracts, blueprints, permits, reports), ensuring records are up to date and properly archived.

Scheduling and Calendar Management: Handle meetings, conference calls, site visits, and other appointments for team members, managers, and external stakeholders.

Correspondence Handling: Manage incoming and outgoing communications via email, phone, and mail, ensuring important information is passed on in a timely manner.

Project Coordination: Provide administrative support to project managers, engineers, and other team members, tracking project timelines, milestones, and deliverables.

Team Liaison: Act as a liaison between different departments (engineering, construction, finance, etc.) to keep projects on track.

Travel Arrangements: Book flights, accommodation, and transportation for team members needing site visits, meetings, or conferences.

Ordering Supplies and Equipment: Assist with ordering office supplies, project materials, or other resources needed for day‑to‑day operations or specific projects.

Inventory Management: Maintain office and project equipment inventories, ensuring the right tools and materials are available when needed.

Assisting with New Hire Onboarding: Support onboarding by scheduling orientation, interfacing with hiring managers, setting up workstations, providing necessary documents, and helping new hires integrate into the team.

Data Entry and Reporting: Enter project data into software systems (project management tools, ERP systems), ensuring accuracy and timeliness.

Generating Reports: Generate regular reports on project progress, budgets, and key metrics for senior leadership or clients.

Contract Administration: Organize and track contracts with clients, vendors, and contractors, ensuring paperwork is properly completed, signed, and filed.

Compliance Documentation: Maintain necessary compliance documents such as safety certifications, environmental reports, and project permits.

Meeting and Event Organization: Prepare meeting materials (agendas, presentations, reports) and manage logistics for company events or team‑building activities.

Invoice Processing: Assist with processing invoices, managing billing cycles, and ensuring payments for services or materials are tracked and submitted on time.

Expense Tracking: Monitor office or project‑related expenses to keep budgets adhered to.

Customer Interaction: Serve as first point of contact for clients or vendors, addressing inquiries and ensuring external stakeholder needs are met promptly.

Internal Communication: Disseminate important information, reminders, and updates within the team.

Office Management: Maintain a well‑organized, comfortable, and functional office environment, overseeing cleanliness and equipment maintenance.

Budgeting: Assist with managing the office budget to stay within predefined limits.

Problem Solving: Resolve scheduling, document, equipment, or team coordination issues quickly as they arise.

Supporting Special Projects: Assist with special projects or ad‑hoc tasks as required by the business.

Required Skills & Qualifications

High School diploma or GED

Minimum 3+ years of previous experience in office administration or a related role

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

Excellent written and verbal communication skills

Strong organizational skills and ability to multitask and prioritize effectively

Keen attention to detail

Preferred Experience

Some experience with onboarding new employees
