Job Summary The Office Administrator in the Integrated Delivery Services of Congruex plays a key support role, helping to ensure the smooth operation of the office and assisting with administrative tasks related to large‑scale telecom projects. This role involves a combination of organizational, logistical, and communication responsibilities, working across multiple departments to keep everything running efficiently.

Job Responsibilities (Including, But Not Limited To)

Administrative Support: Organizing, filing, and maintaining project‑related documentation such as contracts, blueprints, permits, and reports.

Scheduling and Calendar Management: Scheduling meetings, conference calls, site visits, and appointments for team members, managers, and stakeholders.

Correspondence Handling: Managing incoming and outgoing communications, including emails, phone calls, and mail.

Project Coordination: Providing administrative support to project managers, engineers, and team members to track project timelines, milestones, and deliverables.

Team Liaison: Acting as a liaison between different departments to keep projects on track.

Travel Arrangements: Booking travel for team members (flights, accommodations, transportation).

Ordering Supplies and Equipment: Assisting with ordering office supplies, project materials, and resources.

Inventory Management: Maintaining office and project equipment inventories.

New Hire Onboarding Support: Assisting with scheduling orientation, interfacing with hiring managers, setting up workstations, and providing necessary documentation.

Data Entry and Reporting: Entering project data into software systems and generating regular reports on progress, budgets, and metrics.

Contract Administration: Organizing and tracking contracts with clients, vendors, and contractors.

Compliance Documentation: Maintaining safety certifications, environmental reports, and project permits.

Meeting and Event Organization: Preparing meeting materials and taking minutes; planning company events and team‑building activities.

Invoice Processing and Expense Tracking: Processing invoices, managing billing cycles, and tracking office/project expenses.

Customer Interaction: First point of contact for clients or vendors, addressing inquiries.

Internal Communication: Disseminating important information, reminders, and updates.

General Office Management: Maintaining office organization, equipment maintenance, and overall efficiency.

Office Budgeting: Assisting with managing the office budget and staying within limits.

Problem Solving and Ad Hoc Tasks: Resolving issues related to scheduling, documents, equipment, or coordination.

Special Project Support: Assisting with special projects or ad hoc tasks as needed.

Required Skills & Qualifications

High School diploma or GED.

Minimum 3+ years of previous experience in office administration or a related role.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Excellent written and verbal communication skills.

Strong organizational skills.

Ability to multitask and prioritize work effectively.

Keen attention to detail.

Preferred Experience

Some experience with onboarding new employees.
