ARCH PCN Home Visiting Service are looking for awell organised and highly motivated Administrator tohelp support our multi-disciplinaryand multi-agency team of professionals working across the PCN area includingAlfreton, Ripley, Crich and Heanor.
This is a varied role to be part of a developing team and support a service to work in a different way.
This is a 30 - 37.5 hours a week role, working over Monday - Friday. Hours to be discussed at interview, but between the hours of 8.30 - 6.30pm.
Main duties of the job
As a Home Visiting ServiceAdministrator, you will work as part of a dynamic team in delivering an effective servicesupporting clinicians and staff in the PCN Home Visiting Service. The post holder will be a crucial part of the team to provide administrativesupport on a day-to-day basis. The ideal candidate will beflexible and adaptable, a creative thinker and able to use their owninitiative. Experience of using SystmOne is essential (experience of EMIS is desirable)as is experience of working in Primary Care. The role will involve providingadministrative support to the team conducting the clinical visits, assistingwith accessing and obtaining information from the clinical records,prioritising emails, referrals and test results assigning them to the clinicianin a timely manner. The team hold a variety of meetings, this role wouldsupport with that, liaising with a variety of stakeholders and providingadministrative support during the meetings. The post holder will also be required to co-ordinateadministrative and secretarial services; including for example, the preparationof agendas and minutes, taking appropriate follow-up action as required. Supportingthe team with the management of projects, gathering information and undertakingenquiries as and when is necessary for the Clinical Operations Manager, clinicallead and the rest of the team. Following up on any outstanding actions. Deal with telephone/email (individual and service generic email)enquiries, taking messages and passing information to the team. Monitor and manage SystmOne tasks. Assist the shift lead in the day-to-day operations of the HomeVisiting Service list and assist with allocation of visits. Keep the visiting staff informed of any matters arising asnecessary Effectively communicate with patients and GP practices aroundforthcoming home visits and keep patients informed of any changes. Be a point of contact for the Home Visiting Service to patients,the Practices and other health and social care services using the service. Ensure that all contacts/visits undertaken are recorded correctlyin the medical records. Support with contacting patients for feedback and devise patientfeedback reports. Preparing agendas, taking minutes, distributing notes of meetingsand chase and coordinate actions andupdating action logs. Participate in any HomeVisiting Service development activities as directed. Provide support with service data collection to support PCN boardreports and other communications as necessary. Support the Clinical Leads, Clinical Operations Manager and PCNOperational Lead as required. Responsible for ordering stationery and consumables for the team, ensuring they are kept securely.Carrying out stock takes, making sure stock is in date. Assisting with data capture and coding on a range of systems;using GP clinical records and systems as well as other non-clinicaladministration IT systems. Work flexibly to ensure coverage during periods of absence within theteam. To carry out other appropriate delegated duties as required. Qualifications
Educated to GCSE grade C/level 4 or above in English Language and Mathematics. Experience
Administrative / secretarial experience including initiating and maintaining office systems. Demonstrable experience in dealing with the public and various other health & social care professionals, and dealing with sensitive and confidential information. Aptitude to learn new IT systems. Experience of using SystmOne. Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access. Understanding of Confidentiality and Data Protection Act. Experience of using EMIS. Experience of working in Primary Care. Knowledge of NHS issues. Values and behaviours
