Description We are seeking a highly motivated Billing Specialist for our Chicago, IL office to join the ABNA family. ABNA is seeking a detail-oriented and highly organized Administrative/Billing Assistant to support the Chicago office. This position plays a key role in processing billing, maintaining accounts receivable, and performing daily administrative operations that keep the office running smoothly. The ideal candidate is proactive, professional, and able to manage multiple priorities with efficiency and discretion.

Billing & Accounts Receivable

Prepare and process invoices and billing statements

Perform billing-related data entry and maintain supporting documentation

Send bill reminders and follow up with clients regarding outstanding invoices

Receive and record payments; ensure accurate deposit tracking

Research and resolve unbilled or mismatched billing items

Collaborate with accounting staff in St. Louis to support company-wide billing needs

Maintain accurate billing files in compliance with internal procedures

Administrative Support

Answer and route phone calls; provide professional customer service

Prepare clear and accurate written correspondence

Manage office filing systems (digital and physical)

Assist with printing, copying, scanning, and document assembly

Sort, distribute, and prepare incoming/outgoing mail and courier shipments

Order and maintain office supplies

Schedule meetings, travel arrangements, and conference logistics

Assist with special projects requiring data collection, research, or document preparation

Act as a liaison between Chicago staff and internal departments across ABNA

Requirements Education and Experience

Associate degree required; Bachelor’s degree preferred

2+ years administrative experience

1–2 years of billing, invoicing, or accounts receivable experience

Proficiency in Microsoft Office (Excel, Word)

Experience with accounting software (QuickBooks, Ajera, Deltek) preferred

Strong written and verbal communication skills

Excellent organizational and multitasking ability

High level of professionalism, discretion, and confidentiality

Position Type and Expected Hours of Work This is a full-time, in-person position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Physical Demands This is largely an office role; however, occasional out-of-office may be necessary. This would require the ability to sit for extended periods of time, to lift files, open filing cabinets, and bend, stand or walk as necessary both in the office and at offsite locations.
