The Role The Operations Specialist will play a critical support role in ensuring our fabrication processes run smoothly and efficiently. This position is a blend of essential office administration and hands‑on coordination on the shop floor, focusing heavily on accurate data entry and process flow management within a metal manufacturing environment.
Key Responsibilities Administrative & Data Management
Order Entry:
Accurately input new customer sales orders into the
ERP
and generate corresponding work orders or job travelers.
Receiving Data Entry:
Process and verify all incoming raw materials and components, ensuring quantities match purchase orders, and accurately enter receipt information into the inventory system.
Documentation Control:
Maintain and organize digital and physical files for job travelers, quality checks, shipping logs, and material certifications.
Reporting:
Assist in generating basic operational reports on production status, inventory levels, and shipping accuracy.
Production & Process Support
Inventory Coordination:
Assist in organizing raw material inventory (various metals, fittings, connectors) and finished goods. Conduct periodic cycle counts.
Production Support:
Help monitor the daily flow of production schedules for tube bending, hose assembly, welding, and finishing. Communicate status updates to management.
Quality & Safety:
Support adherence to safety protocols and assist with basic quality control documentation.
Logistics & Shipping Support
Shipping Documentation:
Prepare necessary shipping paperwork for outgoing finished products.
Procurement Assistance:
Communicate with suppliers and logistics partners to track incoming material shipments and resolve simple receiving discrepancies.
Required Qualifications
Experience:
1+ years of professional experience in an administrative, data entry, logistics, or production support role, ideally within a manufacturing or distribution environment.
Data Entry Skills:
High level of accuracy and speed in data entry.
Systems Proficiency:
Proficiency in using
ERP software
(or similar inventory/order management systems) and strong skills in Microsoft Excel and Outlook.
Communication:
Excellent verbal and written communication skills to interact effectively with the shop floor team, vendors, and customers.
Preferred Qualifications
Familiarity with metal fabrication processes (cutting, bending, welding).
Familiarity with Global Shop ERP software.
Experience with lean principles or continuous improvement concepts.
A basic understanding of blueprints or technical drawings.
