The Executive Assistant will report to the Platform Director, R&D, MDS‑SLC and provide support to the MDS‑SLC Platform R&D teams. This role requires an unflappable candidate with strong prioritization, initiative, confidentiality, and professionalism.

Responsibilities

Administrative support

Provide administrative support and contribute to organizational efficiency.

Independently and proactively coordinate agendas, meetings, and logistics for both in‑house and off‑site global meetings.

Maintain and create relevant networks and relationships within Salt Lake City and globally.

Manage calendar, interacting with internal and external executives and assistants.

Facilitate incoming and outgoing departmental communications on behalf of the Leadership Team.

Arrange heavy domestic and worldwide travel, including comprehensive itineraries.

Create and process travel expenses and reimbursements in a timely manner.

Collaborate with other administrative assistants inside and outside the MDS team to manage complex calendar demands.

Create high‑quality PowerPoint presentations as needed for R&D presentations and organization charts.

Manage and set up town halls and communicate via platforms such as Yammer.

Provide strong service approach for the AAD and PIVC R&D Directors to drive efficiency and effectiveness.

Events Management

Organize specific events within the scope, working with vendors, site selection, managing interfaces, and budget.

Lead external meetings such as reward and recognition events.

Select vendor and propose/select location.

Launch and implement nomination process.

Logistical organization of complex events.

Elaborate and implement concept for meetings.

Act as primary interface for meeting attendees.

Manage budget autonomously.

Handle all communication aspects around the event.

Required Qualifications

Minimum 5+ years as an Executive Assistant supporting multiple leaders in a multi‑functional, matrixed, fast‑paced, and diverse multicultural environment, preferably at a progressively responsible and/or corporate level.

High school degree required. Bachelor’s degree strongly preferred.

Expected Knowledge, Skills & Abilities

Tech savvy – proficient with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook), and electronic systems such as SAP, Workday, and Concur.

Ability to manage a fast‑paced heavy workload, heavy calendar, and travel arrangements.

Strong interpersonal and communication skills.

Ability to flex schedule to accommodate Director MDS‑SLC R&D.

A great teammate with the ability to develop and maintain good working relationships with everyone across the organization and external contacts.

Self‑motivated, enthusiastic, with an executive presence and ability to take initiative.

A keen sense of urgency in delivering tasks, strong follow‑through in prioritizing, coordinating, and planning in a high‑volume fast‑paced environment.

Integrity and discretion in dealing with sensitive and confidential information.

Ability to use independent judgment to determine what requires priority attention, escalation, and directing to the appropriate team member for response or resolution.

Ability to anticipate needs and be resourceful in delivering tasks; effectively leverage available resources.

High level of attention to detail and accuracy (proofreading/formatting).
