Hybrid (3 days in-office, 2 days remote) – Hudson Yards, NYC
About the Role MarkMedia is a global creative content agency working with investors, founders, and mission-driven organizations on high-end corporate storytelling and strategic video production.
We are seeking a
Executive & Personal Assistant
to support the founder directly. This role exists to protect focus, reduce friction, and ensure that ideas, decisions, and responsibilities move from conversation to completion.
This is a behind-the-scenes, high-responsibility role for someone who thrives on structure, follow-through, discretion, and helping others operate at their best.
Your Role You will work closely with the founder, supporting both business and personal operations so that time, energy, and attention are spent where they matter most.
You’ll be responsible for managing information flow, maintaining momentum across priorities, and ensuring that important tasks don’t stall or fall through the cracks.
This role requires judgment, trust, and emotional steadiness, along with the ability to move comfortably between planning and execution, detail and big picture, business and personal support.
Your Impact
Manage the founder’s inbox, calendar, and scheduling with precision
Draft, organize, and prioritize communications
Track tasks, deadlines, and follow-ups across business and personal priorities
Translate conversations, voice notes, and ideas into clear action plans
Maintain visibility into active projects, commitments, and timelines
Follow up with clients, contractors, and internal collaborators to close loops
Surface blockers early and propose practical solutions
Coordinate logistics related to meetings, travel, shoots, and schedules
Support daily routines and environments that enable high performance
Assist with invoicing follow-ups and basic administrative tracking
Maintain a calm, clean, and professional in‑office environment
Use AI tools to summarize information, draft responses, and create clarity
Support onboarding and coordination of freelancers or interns when needed
Provide occasional on‑site or shoot‑day logistical support (non‑creative)
Handle personal and professional errands to maximize efficiency
Drive or coordinate local transportation and logistics when required
When done well, this role creates momentum, reduces stress, and allows the founder to focus on leadership, creative direction, and growth.
What You Bring You are someone who enjoys being in a support role and takes pride in creating order, clarity, and consistency.
You likely have
2–5 years of experience as an executive assistant, personal assistant, or operations support professional
Strong written and verbal communication skills
High comfort managing email, calendars, task systems, and digital tools
Good judgment around confidentiality and discretion
Confidence following up, holding timelines, and closing loops
The ability to stay calm and organized in fast‑moving environments
Bonus (not required)
Experience using AI tools for organization, summarization, or drafting
Familiarity with agency or founder‑led business environments

90‑day paid trial period to ensure mutual fit
Salary range: $60,000 - $75,000 (based on experience)
