Executive Assistant Salary: $26.95 - $31.90 per hour

We are seeking a compassionate and dedicated Executive Assistant to support our President/CEO and the Executive Leadership Team with a wide variety of administrative and clerical functions.

Responsibilities

Assist members of the CEO and Executive Leadership Team with administrative and clerical functions

Schedule meetings and conference calls

Create, edit, distribute, and file minutes, documents, and reports

Coordinate logistics of attendance at special events/seminars

Coordinate communication with the Board of Trustees and Board Committee Volunteers

Schedule and coordinate meetings for Board of Trustees, Board Committees, and Executive Leadership Team

Prepare agendas and minutes of Executive Leadership, Board, and Committee meetings

Maintain information on third‑party website for Board and agency corporate documents, records and reports and administer access to site

Maintain compliance for Board of Trustees and Committee Member confidential information, files, and bylaws

Track and maintain agency memberships and renewals including NJ State licensure

Reconcile monthly credit card bills for administrative expenses

Manage special projects as needed

Track leadership time off

Maintain and update agency policy and procedures manual

Coordinate computer and file retention efforts within the Administrative department

Maintain meeting‑room calendars and schedule meetings

Other responsibilities as needed to support the President/CEO and Executive Leadership Team

Qualifications

Formal technical/business training and high school diploma required; college degree preferred

Minimum of two years as an assistant to executives

Ability to work flexible hours, including occasional evenings as needed

Proficiency in MS Office (Excel and PowerPoint, in particular)

Excellent interpersonal and customer service skills

Excellent time‑management skills and ability to organize and prioritize multiple priorities, projects, meetings, events, and other work

Attention to detail and problem‑solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi‑task

Ability to maintain a professional and positive demeanor with internal and external customers
