Responsibilities

Perform general administrative tasks such as customer experience, billing and invoicing, maintaining system records, scheduling, sales entry, etc.

Handle accounts payable processes including creating POs and coding/processing bills.

Handle accounts receivable processes including partnering with collection team, credit requests, refunds, and price changes, pulling invoices as appropriate.

Manage customer contract database, price increases, new agreements.

Maintain office supply inventory.

Support WDS (sales entry, routing, client contact info & client inventory updates).

Support branches in other assigned functions as delegated.

Maintain adequate inventories of all supplies alongside the Warehouse manager.

Maintain Branch Holiday Pipeline.

Support WDS tasks (Sales Delivery Tickets, Replacement Tickets/Blooming Tickets; Master Blooming Schedules).

Assist with Commission SOP.

Manage Assist with MUR Reporting.

Physical Inventory Processes (WDS).

Candidate Summary & Qualifications

3-5 years business administrative experience preferred.

Proficiency with Google Suite.

Experience supervising others preferred.

Excellent listening and communication skills.

Excellent customer service skills.

Strong written and verbal communication skills.

Excellent organization and time management, ability to handle multiple tasks and work across departments.

Ability to provide timely, clear and concise feedback.

Attention to detail and analytical skills.

Customer focus and growth mindset.

Outstanding problem-solving abilities.

Ability to handle stress and related situations.

Ability to work independently and take initiative.

Formal Education, Qualifications or Training

High school diploma or GED required.

3-5 years experience in a similar administrative role preferred.

Base Pay Range Hourly: $19.00 - $26.00. Pay may vary based on location, skills, education and experience, and may include overtime, incentives, commissions, performance and route assignment (where applicable).
