SENIOR MEDICAL TRANSCRIBER – California Department of State Hospitals The Department of State Hospitals – Napa, Health Information Management Department is hiring a full-time, permanent Senior Medical Transcriber. This role serves in a secretarial capacity to a chief medical officer, program administrator, or head of a medical specialty, performing complex medical transcribing using a wide variety of medical terms, abbreviations, and reports. Positions that supervise a pool of medical transcribers may also be assigned to this level.

Responsibilities

Supervise the staff assigned to the Transcription Section and oversee transcription of medical and non‑medical documents from dictated and handwritten material.

Transcribe average and difficult dictation accurately, using Winscribe Network Dictation System and Microsoft Word.

Verify DSM‑IV coding on reports and prepare Continuous Quality Improvement Reports.

Orient clinical staff on transcription procedures and maintain identification numbers for staff in the dictation system.

Monitor Winscribe dictation system, edit incorrect entries, and manage repair calls for dictation equipment, word processors, and printers.

Assign priorities, organize, and monitor workflow within the Transcription Section; prepare weekly transcription status reports.

Research dictation status for hospital staff and inform section staff of procedural changes.

Train employees, including backup staff for the dictation system, and prepare new employees for duties in the section.

Proofread transcriptions, evaluate employee performance, and complete probationary and annual performance evaluations.

Maintain accurate time records for Transcription employees and review reports for quality, format, and uniformity.

Participate in employee selection and orientation; maintain logs and reports to promote efficient work practices.

Represent the Department’s Equal Employment Opportunity Program and ensure compliance with civil rights laws and Department objectives.

Legal & Compliance

Maintain section manual and develop new procedures.

Participate in staff/safety meetings, providing training, inspections, accident investigations, and prevention.

Develop lines of communication, promote staff morale, and maintain positive relationships with clinical staff.

Represent the Director at hospital‑wide committee meetings and keep the Director and employees informed of status and changes.

Maintain a professional, calm, and courteous attitude at all times and respect confidentiality and sensitivity of patient information.
