Description The Executive Assistant provides comprehensive support to the Executive Director, executive team, and board of directors. The role requires proactive thinking, critical analysis, detail orientation, and ability to manage multiple projects across diverse areas.
Administrative Support to Executive Director
Supports the Executive Director in day‑to‑day responsibilities, including calendar management, meeting planning, material preparation, and other administrative tasks.
Tracks the Executive Director’s commitments, goals, projects, tasks, and deadlines.
Works on special projects assigned by the Executive Director, handles them expeditiously, and ensures successful completion.
Researches and follows up on emerging issues.
Coordination of Relationships with Board of Directors
Manages scheduling and meeting logistics for board and committee meetings.
Assists the executive team in preparing materials for board and committee meetings.
Drafts minutes to record board and committee meetings in a timely manner.
Assists board president with scheduling and communication needs.
Support for Administrative and Program Activities
Collaborates with administration to schedule, coordinate logistics, and communicate for staff meetings, events, and committees.
Manages the intranet site to ensure information is relevant, comprehensive, and up to date.
Supports compliance activities by developing and monitoring internal reporting processes.
Other Duties As Assigned Additional responsibilities may be assigned as required.
Qualifications
BA required; equivalent experience acceptable.
Minimum 3 years of experience in administration, project management, office management, or related field.
Working Conditions and Physical Effort
40 hours per week, flexible in‑person schedule.
Occasional travel to meetings or for purchases, with mileage reimbursement.
Work performed in an interior, temperature‑controlled office environment; involves prolonged periods of sitting at a desk and computer use.
Requires occasional bending, squatting, standing, pulling, pushing, lifting, and moving items up to 25 lbs.
