Apply for this full‑time administrative position in the Department of Otolaryngology‑Head and Neck Surgery at Augusta University.
Job Summary This position provides administrative support to faculty and advanced practice providers. Duties include phone coverage, assisting with dictation, documentation and inquiries, handling correspondence, routing grant applications, maintaining multiple calendars, coordinating and scheduling meetings, making travel/lodging arrangements, preparing travel authorizations and expense reports, preparing CME or teaching materials, arranging visitor/candidate itineraries, maintaining filing systems, serving as department conference‑room coordinator, coordinating facilities maintenance requests, and performing receptionist duties.
Responsibilities
Provide phone coverage and electronic fax distribution.
Assist faculty with dictation, documentation, and inquiries.
Handle internal and external correspondence and route grant applications.
Maintain multiple calendars and coordinate scheduling of meetings.
Make travel and hotel arrangements and process travel requests and expense statements.
Prepare CME and/or teaching materials for seminars.
Arrange visitor and candidate itineraries.
Maintain filing systems and serve as department conference‑room coordinator.
Coordinate maintenance requests with Facilities for all Otolaryngology offices.
Assist the office manager or business manager with special projects.
Required Qualifications
High School Diploma or GED from a recognized accrediting organization.
Minimum one year of office support experience.
Preferred Qualifications
Associate degree from an accredited college in a related field.
Knowledge of medical terminology and transcription.
Customer‑service experience.
Knowledge, Skills & Abilities
Proficiency in Microsoft Office and other computer software/databases.
Excellent interpersonal, written, verbal and communication skills.
Excellent organizational, time‑management, customer‑service, prioritization and office‑procedure skills.
Ability to maintain confidentiality.
Ability to work independently, manage multiple tasks, and meet deadlines.
Shift / Salary / Benefits Shift: Days, Monday – Friday. Salary: $15.77 to $17.91 per hour (commensurate with qualifications; pay band B2). Recruitment Period: Until Filled. Benefits for eligible full‑time employees include health, dental, life insurance, educator retirement plan or optional retirement plan, earned vacation, sick leave, and 13 paid holidays. Tuition Assistance Program may apply after 6 months of satisfactory employment.
