Position Overview The Office Manager plays a critical role in ensuring the smooth and efficient operation of our CPA firm. This position oversees administrative functions, supports accounting staff, and manages client service processes under general supervision. The role requires regular interaction both within and outside the firm and the ability to establish and maintain effective working relationships with the public, coworkers, and related agencies. The ideal candidate is highly organized, detail‑oriented, and capable of balancing multiple priorities in a fast‑paced professional environment.
Key Responsibilities Administrative Management
Oversee daily office operations, including scheduling, filing, and correspondence.
Maintain organized records and ensure compliance with confidentiality standards.
Client Service
Serve as the first point of contact for clients, providing professional communication and support.
Schedule appointments, prepare client files, and assist with onboarding new clients.
Assist with the preparation of client financial reports under the supervision of accounting staff.
Technology & Systems
Coordinate with IT support for troubleshooting and system upgrades.
Resource & Vendor Management
Order office supplies and manage vendor relationships.
Ensure cost‑effective purchasing and inventory management.
Qualifications
Bachelor’s degree in Business Administration, Accounting, or a related field preferred – not required.
Minimum of two years of office management or administrative experience (CPA firm or professional services environment strongly preferred).
Strong knowledge of office software, including Microsoft Office Suite, QuickBooks, or similar systems.
Excellent organizational, communication, and leadership skills.
Ability to handle confidential information with discretion and professionalism.
