Job Description General Functions:
This key position conducts special project assignments and provides administrative support to the assigned division. Responsible for providing administrative support to the Division Manager/Director and conducting assignments to enhance and improve division operations. Research, analysis, and evaluation of programs, projects, and operational procedures are performed as part of this classification. Work is performed with considerable independence under the supervision of an assigned Supervisor or Manager. Performance is reviewed through observations, reports and results achieved.
Representative Duties/Assignments
Assists in planning, organizing, analyzing and presenting budgets, costs, project schedules and other required data for CIP programs.
Assist in the implementation of Project Management Software.
Performs independent research of financial, design and right-of-way issues.
Prepares detailed reports, summaries, and presentations on project progress, findings, and outcomes for review by the Division Manager/Director and other relevant personnel.
Collects field data and provides reports in support of CIP programs.
Research enquiries from the public and commissioners and respond accordingly. May act as the point of contact for Public Information Request.
Assists in the procurement of professional and construction services by performing reference checks, preparing bid tabulations and other tasks as assigned.
Assists in the review of Agreements, Construction Plans, Right-of-Way Maps, Survey documents and Engineering Reports.
Manages and organizes inventory of project documentation, including Construction Plans, Right-of-Way Maps and Engineering Reports. Includes use of Records Management, Document Management Systems, electronic databases, and management of file room.
Organizes and participates in Community Meetings.
Participates in Hurricane preparation and damage assessment.
Performs other related duties as assigned.
Minimum Qualifications Bachelor's degree from an accredited institution in Business Administration, Engineering or closely related field and three (3) years of experience in administering and coordinating capital projects including project planning, budgeting, scheduling, reporting, inspections, projects close-out, and customer service. In lieu of the degree requirements, additional relevant experience may be substituted on a year-for-year basis.
Preferences Proficient in Microsoft Office particularly Excel, Word and PowerPoint. Experience in program management software such as Aurigo and Monday.com.
