About the Role Reporting directly to the VP of Accounting, Finance & Systems, the Office Manager & Executive Support is a highly visible, high‑impact role and the operational backbone of our Manhattan headquarters.

You will be the first point of contact for employees, visitors, partners, and our broader community – ensuring the office runs smoothly, samples ship flawlessly, executives are supported, and both our in‑office and online communities feel welcomed, organized, and engaged.

This role is ideal for someone who thrives on ownership, anticipates needs, and brings a “no task too small” mindset. You are dependable, proactive, and take pride in creating an exceptional workplace and brand experience while juggling multiple priorities in a fast‑paced environment.

Key Responsibilities 1. Office Administration & Operations

Own day‑to‑day office operations, ensuring a clean, organized, and fully stocked workplace.

Manage office supply inventory, kitchen and refrigerator restocking, and vendor reordering.

Serve as primary liaison with building management, mailroom, maintenance, contractors, and office vendors.

Coordinate visitor access, deliveries, and office logistics.

Manage weekly office lunch ordering and other recurring office needs.

Support customer responses and brand goodwill initiatives via Zendesk, including compliments and coupon/voucher mailings.

2. Champion the Team & Feel Good Foods Culture

Act as a culture ambassador—creating a welcoming, positive, and high‑energy office environment.

Support employee engagement initiatives, celebrations, and team‑building activities.

Be a trusted, approachable presence for employees across teams.

Help reinforce Feel Good Foods’ values through thoughtful execution of in‑office experiences and interactions.

3. Shipping & Delivery (Samples & Logistics)

Prepare, pack, label, and ship product samples for Sales and Marketing teams, including handling dry ice when required.

Coordinate outbound shipments with FedEx and other carriers, ensuring accuracy and on‑time delivery.

Submit and manage weekly sample orders to external sample warehouses (every Friday).

Track shipments, troubleshoot issues, and maintain clear communication with internal stakeholders.

4. Executive Assistance & Administrative Support

Provide light executive assistance, including expense reporting and administrative support for the CEO.

Maintain discretion while handling confidential information.

Assist with ad‑hoc projects and cross‑functional support as needed, stepping in where help is required.

5. Social Media & Community Support (in close collaboration with the Marketing team; office operations remain the primary priority for the role)

Assist with maintaining the social media content calendar, ensuring scheduled content is posted accurately and on time.

Manage day‑to‑day community management across all social platforms, including responding to comments, DMs, product inquiries, and inbound influencer or partnership requests.

Repost user‑generated content and engage with followers to foster a positive, active, and growing online community.

Monitor social channels for trends, cultural moments, and opportunities to engage in real time in alignment with brand voice.

Support influencer and partnership initiatives, including coordination of product seeding and follow‑up on deliverables.

Opportunity to contribute to caption writing, content ideation, and creative brainstorming to support brand voice, campaigns, and launches when needed.

Qualifications

2+ years of experience in office administration, executive support, community management, or similar operational roles.

Highly organized with exceptional attention to detail and strong follow‑through.

Proactive self‑starter who anticipates needs and solves problems independently.

Strong interpersonal skills with the ability to build trust across all levels of the organization and to represent the brand thoughtfully and professionally.

Comfortable handling confidential information with discretion.

High energy, adaptable, and thrives in a fast‑paced, dynamic environment.

Able to manage multiple priorities simultaneously and execute with urgency.

Proficient in Google Workspace and Microsoft Office 365 (Outlook, Teams, SharePoint, PowerPoint, Excel).

Familiarity with social platforms (e.g., Instagram, TikTok) and community management best practices is a plus.

Familiarity with expense reporting systems preferred.

Work Location In‑office presence required 3 days per week (Tuesday to Thursday) at our downtown Manhattan headquarters.

Compensation $70,000 – $90,000 annual salary, commensurate with experience.
