Role Description
This is a full‑time, on‑site role in Edmond, Oklahoma, for an Executive Assistant to the Chief Executive Officer (CEO). This role is responsible for supporting the CEO with both business and personal tasks. It requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast‑paced environment. The Executive Assistant will handle calendar management, meeting coordination, travel arrangements, expense tracking, and confidential communications, ensuring seamless support for the CEO’s professional and personal commitments.
Responsibilities:
- Calendar & Scheduling Management: Coordinate calendars, schedule meetings, and manage logistics for senior leadership.
- Email & Communication Support: Monitor shared inboxes, draft and respond to routine correspondence, and ensure timely follow‑up.
- Meeting Coordination: Prepare and send calendar invitations, organize meeting details, and handle logistics.
- Travel Assistance: Support personal and family travel arrangements.
- Financial & Administrative Tasks: Oversee bill payments, track expenses, and maintain accurate digital records.
- Errand Management: Handle occasional errands such as mail retrieval and dry‑cleaning pickup.
- Office Support: Assist with general office needs and administrative tasks as required.
- Documentation & Organization: Take meeting notes, organize internal files, and streamline communications.
- Confidentiality: Handle sensitive information with the highest level of discretion and professionalism.
Required Qualifications, Skills and Abilities:
- High school diploma or equivalent required
- Proven experience as an executive assistant, personal assistant, or similar role.
- Strong organizational and time‑management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and digital tools for scheduling and record‑keeping.
- Ability to multitask and prioritize effectively under pressure.
- High level of integrity and confidentiality.
- Flexibility to handle occasional personal tasks and errands.
Working Conditions:
- Extended periods of sitting or standing
- Lift or carry up to 15 lbs.
- Will work in an office environment.
- Be available to travel if needed.
