Executive Assistant Position

We are looking for a skilled and detail-oriented Executive Assistant to support the President and senior leadership of an automotive manufacturing company in Shelby Township, Michigan. This role requires a highly organized individual who can manage complex schedules, coordinate meetings, and handle administrative tasks with precision and discretion. As a contract to permanent opportunity, this position offers the potential for long-term growth within the organization.

Responsibilities:

  1. Manage and organize the President's calendar, ensuring seamless coordination of meetings and daily schedules.
  2. Prepare and maintain company documents, including contracts, policies, and internal procedures.
  3. Coordinate logistics for customer visits, government officials, and other high-profile guests, including reception planning and catering arrangements.
  4. Provide administrative assistance for legal and compliance processes, such as document preparation and communication with external legal counsel.
  5. Create detailed meeting agendas, presentations, and minutes, tracking action items and ensuring timely follow-up.
  6. Serve as the primary liaison for communication between senior leadership, including overseas executives.
  7. Arrange all travel plans, including booking flights, accommodations, and transportation for the President and leadership team.
  8. Support the preparation and consolidation of management reports, proposals, and strategic plans.
  9. Handle confidential information with discretion while maintaining a high standard of conduct at all times.
  10. Assist with external events and receptions, ensuring all logistical aspects are executed flawlessly.

Requirements:

  • Fluency in both English and Chinese, with excellent written and verbal communication skills.
  • A minimum of 3 years of experience as an Executive Assistant, preferably in a manufacturing or automotive environment.
  • Proficiency in Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously.
  • Strong interpersonal skills and the ability to interact effectively with senior leadership and external stakeholders.
  • Experience coordinating travel arrangements and managing executive meeting schedules.
  • Knowledge of basic legal and compliance processes is a plus.
  • Detail-oriented approach and the ability to handle sensitive information with discretion.
