Special Education Secretary Job Title: Special Education Secretary Qualifications: High School Diploma or Equivalency Certificate. Demonstrated aptitude or competence for assigned responsibilities and alternatives as the Board may find appropriate. Ability to exercise tact and cooperation in dealing with Board of Education personnel, outside agencies, and the general public. Physical Requirements: Sufficient manual dexterity to enable operation of computer keyboards; ability to communicate well verbally and in writing; good vision and hearing, with corrective devices if necessary. Position often requires sitting and performing repetitive tasks for extended periods. Position requires occasional lifting of boxes up to 25 pounds. Reports To: Director of Special Education Job Goal: To contribute to the efficient operation of the Office of Special Education so it can play its effective part in the educational process. Performance Responsibilities Coordinates operational administrative activities and resources for assigned service area. Receives, researches, and gathers information. Processes requests, runs copies, responds to inquiries, and prepares a variety of materials such as letters, student records, reports, memos, monthly statements, budget documents, etc. from rough drafts or corrected copy. Assists in conveying and implementing policies and procedures of assigned area. Assists in updating and maintaining handbooks and manuals for Special Education, and other documents as directed by Director of Special Education. Maintains and files records for the professional staff, including maintenance of Special Education records as directed by the Director and Coordinator of Special Education. Receives Medical Assistance documents, tracks submissions, and sends these items to the staff who process this information. Prepares for and assists with all audits in the Office of Special Education. Manages calendars and/or dockets. Arranges meetings and location and equipment logistics. Prepares and distributes agendas, correspondence, informational materials, and meeting minutes, ensuring documents adhere to applicable standards. May make travel arrangements as requested. Conducts internal and external office relations via email and other approved computer and online applications/programs, telephone and in person, including composing letters and memoranda, as assigned. Responds to requests, researches and resolves inquiries and issues, and conveys information regarding policies and procedures. Seeks appropriate contact or resource for information as required and provides responses in a timely manner. Enters and maintains data in department databases. Researches and locates information, provides status/disposition updates, prepares documents and generates reports that are of a time‑sensitive nature and adhere to applicable standards. Ensures operation of standard office equipment (e.g., computers, photocopiers, facsimile machines, postage meters) and submits work orders and/or calls for repairs. Assures all laws, regulations, and rules regarding confidentiality are observed. Performs other duties as assigned. Terms of Employment As found in the Agreement Between the Kent County Educational Support Personnel Association and the Board of Education of Kent County. Twelve (12) month position. Salary Accounts Payable & Secretary Lane. Step established by the Superintendent. Salary Scale. FLSA Status Non‑exempt.
