Overview The Production Administrative Assistant must enjoy customer service and project an energetic attitude, warm welcome and positive image of Groundworks. This position handles workflow for customer service calls, production and service technician interaction and supports administrative needs of a busy customer service-based industry. Duties and Responsibilities Provide administrative support for timekeeping Create weekly job packs Create and close purchase orders Ensure office equipment is in working order, including scheduling maintenance Set and confirm install dates Mail customer information packets Follow up with customers on a variety of issues Update customer records for accuracy Regularly and reliably report to work on time each working day Answer customer calls, schedule and confirm installations, and follow up with customers Coordinate all paperwork, data entry, and correspondence for sold job proposals Ensure crews have the required information and resources for successful installations Provide tactical support to the production department Provide customers with excellent and memorable experience Foster a positive team environment by building strong relationships Adhere to company policies and procedures, including safety and anti‑bullying/harassment policies Act with the highest degree of professionalism, integrity, and respect Uphold company’s positive image and reputation in the community Implement and follow instructions of management Qualifications High School Degree/GED 1–2 years of Administrative Assistant experience (preferred) Previous call center or customer service experience (preferred) Positive and motivated with excellent communication skills Ability to adapt quickly to changes in work strategy Excellent computer skills Great oral and verbal communication Working Conditions Must be able to read reports, data, statistics and information on computer screens Full‑time, onsite Benefits Competitive hourly pay Employee ownership Superior training and leadership development Family‑oriented culture Medical, Dental, Vision, Long/Short Term Disability, Life insurance 401(k) with company match 2 weeks paid time off, including 6 holidays Schedule “A” Job Description: Production Administrative Assistant – Support the production department, answer customer calls, schedule and confirm installations, coordinate paperwork, ensure crew readiness, and provide excellent customer experience.
