About the Position:

The College of Natural Sciences and Mathematics (NSM) is one of eight colleges at CSUF and contains five departments. The college offers through its departments and programs, baccalaureate degrees in all disciplines and master’s degrees in biological science, chemistry, geology, physics and mathematics.

We seek an exceptional individual to join our team as the Chemistry and Biochemistry Administrative Coordinator (Administrative Support Coordinator II).

Responsibilities

Coordinate and manage all department administrative functions, including scheduling, lecturer and student contracts, and tracking deadlines and calendar events.

Serve as liaison between the department and the Dean's office; attend department meetings and take minutes.

Support the department faculty personnel committee for processing confidential documentation and maintaining all confidential faculty files.

Assist department search committees with processing applicant information, maintaining applicant files, and communicating with applicants.

Plan special events and activities; maintain department files and records.

Monitor staff attendance and timekeeping; review in the Absence Management system; process time sheets for graduate assistants, teaching associates, and student assistants.

Provide high-level office support to students, faculty, staff, and community members.

Plan, initiate, execute, and coordinate complex projects, activities, and events with accountability for results.

Evaluate and make recommendations related to operational and procedural matters; apply knowledge of specialized policies and procedures to complete assignments.

Provide lead work direction, training, and guidance to others as needed.

Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent.

Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures.

Thorough mastery of English grammar, punctuation, and spelling.

Expertise in using office software packages, technology, and systems.

Ability to independently handle multiple work unit priorities and projects; interpret and apply policies and procedures with judgment and discretion.

Ability to troubleshoot most office administration problems and respond to inquiries related to the work area; anticipate impact on other areas.

Ability to analyze operational and procedural problems and develop, evaluate, and recommend solutions; perform business math and budget analysis with some inference.

Ability to effectively write and present reports; manage interpersonal interactions at all levels, including sensitive situations; use negotiation and persuasion to achieve results.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if disqualifying information is found or if information is withheld or falsified. Failure to complete the background check satisfactorily may affect continued employment of a current CSU employee who was conditionally offered the position.

Preferred Qualifications

Bachelor's degree from an accredited four-year college or university.

Experience working in an academic department is preferred.

Experience using PeopleSoft/Oracle Common HR System (CHRS) preferred.

Experience leading others and several years of related administrative experience at a senior level.

Skill in using both PC and Mac computers.

Experience coordinating departmental events and large meetings; coordinating departmental budget, processes, recruitment, work orders, curriculum development, scheduling classes, and student advisement/registration.

License/Certifications A valid California driver’s license.
