Job Description Serves as the Graduate School’s lead coordinator for prestigious external and internal fellowships. Will support onboarding, orientation, responding to policy and funding inquiries, and assisting with supplemental funding applications. Guides graduate student applicants through the process by leading application workshops, coordinating campus interviews, and offering strategic advising.
Fellowship Programming and Outreach Designs and delivers programming on prestigious fellowships and external funding opportunities, including sessions on identifying funding sources, crafting competitive proposals, and understanding reviewer expectations. Collaborates with Graduate School Professional Development and other campus partners and a variety of graduate populations.
Internal Award Management Oversees internal award programs for the Graduate School including Teaching Assistant Awards, Program and Staff Awards. Leads and manages annual award and recognition ceremony.
Data Management and Compliance Oversees internal systems for tracking fellowships and awards. Ensures compliance with agency regulations and manages institutional reporting requirements. Maintains proposal resource libraries, templates, and databases to support future applicants.
International Fulbright Support Coordinates Graduate School support for the recruitment and funding of international Fulbright scholars. Advises academic units on Fulbright program requirements and funding structures. Manages out‑of‑state tuition waivers and facilitates institutional processes that support the success of international Fulbright awardees.
Graduate School Strategic Initiatives Contributes to Graduate School initiatives related to graduate student success and recognition. Participates in review committees and supports internal fellowship and award programs in alignment with strategic goals.
Required Qualifications Bachelor’s degree and five years of experience coordinating educational programs or fellowship programs; or an equivalent combination of education and relevant experience.
Preferred Qualifications Master’s degree in a relevant field and 5 years of experience advising students on nationally competitive fellowships/awards, academic writing, or graduate funding; experience leading workshops and campus‑wide outreach. Demonstrated ability to coordinate endorsement processes, run mock interviews, and provide substantive feedback on statement/proposals. Familiarity with NSF GRFP requirements and Fulbright U.S. Graduate Student Program campus processes. Experience with data management/reporting/Salesforce CRM for awards and compliance with agency guidance.
Doctorate or terminal degree; prior success advising/endorsing nominees who received national awards. (Preferred in many director‑level postings.) Experience coordinating internal award competitions and leading recognition events. Engagement with the National Association of Fellowships Advisors (NAFA) and/or service as a reviewer for national competitions (e.g., Fulbright, GRFP).
