SUMMARY OF POSITION Provides a wide variety of Human Resources (HR)-related support including, but not limited to, processing benefits with providers, compiling employment records, coordinating new hire and termination documents and processes, and responding to employee inquiries across a broad range of subjects. Maintains the electronic employee record‑keeping system and the HR database of employee records, ensuring accurate data entry to the HRIS benefit systems and other platforms. May assist with reporting from the Human Capital Management (HCM) system to validate and reconcile benefits‑provider invoices.

ESSENTIAL FUNCTIONS

Prepare new‑hire paperwork and track return of enrollment materials and policy sign‑offs, following up with employees as needed.

Conduct new‑hire and termination meetings as required.

Coordinate benefits, including data entry of enrollment/change forms to the enterprise database.

Respond to employee questions on forms, benefits, and HR processes and provide support to the HR team.

Manage the electronic employee record‑keeping system: create new folders for hires, scan, and file documents on a weekly basis.

Maintain HRIS data and employee records.

Update and post cross‑site digital content bi‑weekly.

Champion employee events (potlucks, celebrations, contests, etc.).

Liaise with department managers and security for building‑access badging and time‑keeping processes.

Act as backup to the receptionist and provide coverage for daily lunches and breaks when needed.

Assist the Safety department as necessary.

Complete employment and payroll verifications within 48 business hours.

Organize all HR department records.

Assist HR in responding to internal and external audits promptly.

Assist HR in responding to subpoenas as needed.

Support others in Human Resources with routine assignments and projects.

Carry out duties in compliance with established business policies.

EDUCATION / EXPERIENCE

High School Diploma or equivalent required.

Bachelor’s degree preferred.

Minimum of two (2) years of experience in Human Resources or a related field required.

HR certificate preferred.

KNOWLEDGE / SKILLS

Ability to understand Federal and State employment laws required.

Basic knowledge of benefits and leave laws preferred.

Strong computer skills required (word processing, database, and spreadsheet experience such as MS Office).

Ability to handle a high volume of work required.

Attention to detail and accuracy is crucial.

Must be very well organized, accurate, thorough, and monitor work for quality.

Ability to handle multiple tasks and prioritize accordingly.

Effective interpersonal skills necessary to interact with people of diverse backgrounds, cultures, and personalities.

Ability to maintain confidentiality a must.

Works under general supervision with routine activities and follows established policies and procedures; receives more detailed instruction for complex assignments.

INTERACTIONS Routinely interacts with employees at all levels throughout the organization.

WORK ENVIRONMENT Typical office environment.

PHYSICAL DEMANDS

Lifting supplies, files, and related materials up to 25 lbs.; 10% of time meeting with people, 70% at the desk on computer/doing paperwork/on phones, 20% talking with visitors.

Frequent walking, movement, and may require working for extended periods of time in a sitting position using computer, keyboard, and mouse.

Specific vision abilities required: close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.

Regular use of hands to finger, handle, or feel and talk or hear.

Frequently required to stand, walk, sit, and occasionally reach, climb, or balance.

Flexible work hours may be needed at times to meet project deadlines; may be required to travel between sites.
