Summary The Patient Services Assistant is the initial point of contact for all patients entering the facility and requires exceptional customer service skills. In addition to front‑line customer interaction, the role involves assisting clinical staff with patient transport and lifting, billing, scheduling, filing, word processing, production of documents, registration of patients, and other general duties as requested.

Responsibilities

Perform patient registration responsibilities, including insurance verification, pre‑certification, obtaining necessary signatures and authorizations for billing, and release of medical information according to established procedures. Obtain signed Advance Beneficiary Notice of Noncoverage (ABN) when services are not covered prior to treatment.

Maintain the clinic’s daily schedule through coordination and communication with nursing staff regarding staff needs, patient acuity, physician orders, and inter‑departmental coordination. Independently contact patients to schedule appointments and provide consistently positive, high‑level customer service in person and on the phone.

Perform all office operations, including filing charts, typing clerical duties, and obtaining/transferring patient information data.

Assist in compiling and releasing data for statistical reports and monitor incomplete records per medical staff bylaws and record policies.

Assist in charge posting for patient encounters and auditing processes with staff assistance; participate in performance improvement activities and maintain compliance with joint commission requirements for radiation safety and patient protection.

Attend scheduled in‑service reviews of policy, procedure, and safety measures; effectively operate a computer using MS Office applications such as Word, Excel, and Adobe.

\ Qualifications

High school diploma or GED; general studies specialization.

Basic knowledge of medical terminology, obtained through formal course or one year of experience in a health care setting.

General clerical skills and ability to operate standard office equipment, including computers (MS Office, Excel, Word, Adobe).

Demonstrated ability to communicate effectively in person and on the telephone.

Patient‑centric mindset appropriate for an outpatient care setting; ability to adapt to a fluid and changing environment and maintain a flexible, willing attitude toward daily patient needs.

Competency in Microsoft Windows; may be required to participate in further learning opportunities offered by MyMichigan Health.

A minimum of six months experience in a health care facility is preferred.

Physical and Mental Requirements

Exposure to stressful situations, including public contact, trauma, grief, and death.

Wear personal protective equipment that includes latex materials or appropriate substitute if required.

Move freely throughout the facility with or without an assisted device; perform all functions of the job as outlined.

Overall vision and hearing necessary, with or without assisted device(s).

Frequently required to sit, stand, and walk for long periods; may require frequent postural changes such as stooping, kneeling, or crouching.

Some exposure to bloodborne pathogens and other potentially infectious material; must follow MyMichigan Health bloodborne pathogen and TB testing as required.

Ability to handle multiple tasks, work independently, maintain regular and predictable attendance, and stay awake.

Physical demand level: Medium. Must occasionally lift or carry 21–50 lbs, frequently 20 lbs, and/or walk/stand/push/pull arm/leg controls for 10 lbs.
